Eye Doctor Office Manager

(Optometry / Ophthalmology)

Position Summary

The Eye Doctor Office Manager is responsible for overseeing the daily operations of the practice, ensuring efficient workflow, excellent patient service, staff supervision, and strong financial performance. This role serves as the primary administrative leader supporting providers, staff, and patients in a fast-paced clinical environment.


Key Responsibilities

Office Operations & Staff Management

  • Oversee daily office operations to ensure smooth patient flow and efficient scheduling
  • Supervise and support front desk, clinical, optical, and billing staff
  • Hire, train, schedule, and evaluate staff performance
  • Address staff issues, coaching needs, and workflow challenges

Billing, Insurance & Financial Oversight

  • Manage insurance verification, billing processes, and claims submission
  • Monitor revenue, expenses, collections, and accounts receivable
  • Reduce claim denials and support accurate coding and reimbursement
  • Assist with budgeting, reporting, and vendor management

Patient Experience & Compliance

  • Ensure a positive patient experience from check-in to check-out
  • Address patient complaints and concerns professionally and promptly
  • Maintain compliance with HIPAA, OSHA, payer requirements, and office policies

Experience Required

  • 3–5 years of experience in a medical office setting, preferably optometry or ophthalmology
  • 1–3 years of supervisory or office management experience
  • Experience with scheduling, insurance verification, billing, and claims processing
  • Working knowledge of healthcare compliance (HIPAA, OSHA)
  • Experience handling patient concerns and staff issues

Preferred experience with optical dispensary operations or multi-provider practices.

Supervisory Responsibility

  • Supervises 5–20 employees, depending on practice size
  • Includes front desk staff, technicians, opticians, and billing personnel
