Front Office Coordinator needed for large construction firm in Vancouver, WA.

 

Pay/Schedule:

$18-$25/hour DOE

Mon-Fri 8am-5pm 

 

Job Duties:

  •  Greet and welcome visitors and customers.
  •  Daily unlocking & locking of all exterior entrances to the building.
  •  Answer and re-direct incoming phone calls transferred from main switchboard.
  •  Ensure front lobby and office common areas are kept tidy and presentable, well-stocked and
    organized with all necessary supplies. Common areas include front lobby, conference rooms, mail
    & office supply rooms, and lunchroom/kitchen.
  • Receive, sort, and distribute daily mail/deliveries.
  • Ship packages (UPS, FedEx & USPS).
  • Order office supplies on weekly basis.
  • Process business card orders for all locations.
  • Coordinate meals for in-office meetings and special events.
  • Data entry into various reports and databases
  • Process invoices associate with Vancouver office 
  • Distribution of monthly apprentice evaluations.
  • Distribute weekly paychecks to Vancouver employees.
  • Update internal directories – phone lists, photos, job site address (monthly).
  • Manage onsite swag – ordering, stocking, mailing and inventory updates to accounting.
  • Assist with calendaring/scheduling and travel accommodations as needed.
  • Collate and distribute job-site binders for field locations.
  • Ordering and distribution of annual labor posters.
  • Perform other clerical support tasks such as filing, scanning/indexing, photocopying, and faxing.
  • Assist with various tasks & projects as assigned by Senior Leadership Team, including special
    projects for President such as Peer Group support projects and activities.

Skills/Experience:

  • Hands-on experience with office equipment (fax/copy machines & printers)
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive
  • Excellent organizational skills
  • Strong multitasking and time-management skills
  • Excellent attendance record
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, & PowerPoint
  • Proven work experience in an administrative support role
