• Flexible option: 9:00 a.m. – 6:00 p.m.
(Minimum 30‑minute lunch | Start/end flexibility between 8–9 a.m. and 5–6 p.m.)

About the Role
As the Executive Assistant, you’ll serve as the professional hub of the office, greeting visitors, supporting executive leadership, and ensuring smooth administrative and operational workflows. You’ll work closely with senior leadership, providing proactive executive support with a strong emphasis on inbox management and priority coordination.
This role requires independence, critical thinking, and the confidence to exercise discretion when handling sensitive and confidential information.
Key Responsibilities
Executive & Administrative Support
- Provide direct Executive Assistant support, including inbox triage and email management (most critical skill)
- Track priorities, deadlines, and follow‑ups while exercising strong judgment around urgency
- Manage calendars, schedule meetings, and prepare documents for review or signature
- “Manage up” by anticipating needs and ensuring leadership stays focused on high‑value priorities
Front Office & Client Interaction
- Act as the front‑facing presence of the office (no dedicated receptionist)
- Greet clients and visitors, assist onsite needs, and ensure a welcoming, professional environment
- Respond to or redirect general inquiries with professionalism
Office Operations
- Order and manage office and breakroom supplies (Amazon ordering included)
- Stock and maintain breakroom and common areas
- Coordinate vendors, building management, and facilities needs
- Handle mail, deliveries, and office logistics
Confidential & HR‑Related Support
- Handle confidential employee files with discretion and integrity
- Support HR or People Operations tasks as needed (HR experience is a plus)
What You Bring to the Table
Experience
- Targeting 5+ years of administrative or operations experience (preferred but not required)
- Strong administrative capability and performance valued over years alone
- HR or People Operations experience is a plus
Skills & Traits
- Exceptional organization, prioritization, and follow‑through
- Strong professional communication — written and verbal
- Excellent judgment around confidentiality and sensitive matters
- Comfortable operating independently with minimal supervision
- Outgoing, polished, and confident interacting with clients
- Not easily rattled — able to work with a direct leadership style
- Tech‑savvy (Outlook, Teams, SharePoint, Microsoft tools)
Biggest Success Factor
- Ability to effectively manage inboxes, priorities, and communication on behalf of leadership — knowing what’s urgent vs. important and following up appropriately.
