Hiring: Project Coordinator/Executive Assistant

Location: Marietta

Hours: M-F 8:00am – 5:00pm (On Call As Needed)

Pay: $40-$60 Salary Base

 

Duties and Responsibilities:

  • Provide comprehensive administrative support to leadership.
  • Assist with project management tasks, client relations, and follow-up on assigned action items.
  • Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact for internal and external communications.
  • Handle correspondence, emails, and phone calls, and prepare reports, documents, and presentations as needed.
  • Assist with personal tasks and errands while upholding professionalism and confidentiality.
  • Monitor deadlines, prioritize tasks, and support overall project coordination.
  • Manage expense reports and support bookkeeping or budget tracking.
  • Conduct research and compile information to support decision-making.
  • Maintain organized filing systems for records, documents, and contacts.
  • Assist with the weekly Pressure Grouting Meeting by monitoring project status, preparing materials, and staying informed about each project.
  • Prepare meeting materials, record minutes, track follow-up actions, and update notes.
  • Organize logistics for company events, conferences, and business functions.
  • Support Pressure Grouting Senior Project Manager by helping oversee projects from start to finish, including team coordination, documentation management, and ensuring safety compliance.

 

Education, Skills, and Experience:

  • Bachelor’s degree in business administration or a related field is preferred, but not required
  • 3-5 years’ experience as an Executive Assistant, Office Manager, Project Coordinator or other administrative role.
  • Strong knowledge of administration responsibilities, systems, and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
  • Proficiency in OneDrive
  • Experience with HubSpot preferred but not required
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills, with a high degree of attention to detail.
  • Aptitude for learning new software and systems.
  • Effective time-management and problem-solving skills with the ability to multitask and prioritize tasks.
  • Ability to maintain confidentiality.
  • Strong interpersonal skills and a positive, proactive attitude.
