The ideal candidate will be bilingual (English/Spanish required) with strong clerical and customer service experience in a healthcare or behavioral health setting.

Customer Care Representative I

We are seeking a compassionate and detail-oriented Customer Care Representative to support patients receiving care for mental health and substance use disorders. This role requires strong clerical skills, excellent communication, and the ability to maintain accurate documentation in an electronic health record system while providing a supportive, therapeutic environment.


Job Summary

The Customer Care Representative I serves as the primary point of contact for patients both in person and by phone, ensuring high-quality service, accurate registration, and efficient coordination of care. This role works closely with clinical teams across Outpatient Psychiatry and Therapy to support continuity of care and treatment planning.


Key Responsibilities

  • Serve as primary point of contact for incoming calls and in-person inquiries
  • Register patients and maintain accurate electronic health records
  • Verify and update demographics, insurance, and patient information
  • Schedule appointments based on clinical need and agency guidelines
  • Provide community resource information and service referrals
  • Assist with front desk operations including check-in/check-out and co-pay collection
  • Collaborate with clinical and billing teams as needed
  • Ensure timely follow-up on voicemails, emails, and portal messages within 1 business day
  • Support conflict resolution and maintain a therapeutic, welcoming environment
  • Assist with cross-training and departmental support as needed

Preferred Skills

  • Bilingual (English/Spanish required)
  • Behavioral health, crisis intervention, or dual diagnosis experience
  • Strong documentation and electronic health record experience
  • Excellent customer service and communication skills

Requirements

  • High school diploma or equivalent required
  • 1 year of clerical/office experience with customer interaction OR Associate’s degree with 6 months experience
  • Ability to complete drug screen, TB test, and Level 2 background screening
  • Completion of one-week orientation
  • Competency in electronic health record systems
