Job Summary:
We are seeking a professional, organized, and detail-oriented Receptionist / Order Coordination Assistant to support our distribution center operations. This role
serves as the first point of contact for visitors and vendors while assisting the purchasing and operations teams in managing orders, inventory, and shipments.
The ideal candidate thrives in a fast-paced environment, handles multiple tasks efficiently, and communicates clearly and politely.
Key Responsibilities:
Greet visitors, vendors, and delivery personnel in a professional and
courteous manner.
Answer incoming calls, route them to appropriate personnel, and forward
general messages as needed.
Assist the purchasing department by reviewing vendor packing slips,
entering inventory, and managing backorders and dated orders.
Run inventory stock lists to compare with on-hand quantities and ensure
accuracy.
Follow up with vendors for purchase order confirmations, ship dates, and
ensure timely delivery.
Pull and process vendor invoices (fax, mail, or email) for drop-shipped
orders and ensure correct customer billing.
Monitor weekly truck shipments to ensure on-time delivery.
Assist in preparing regularly scheduled reports and support special projects
as required.
Develop and maintain an organized filing system for both digital and
physical documents.
Handle multiple projects simultaneously while maintaining accuracy and
attention to detail.
Provide polite, professional, and effective communication with vendors,
customers, and internal teams.

Qualifications:
High school diploma or equivalent; additional administrative or office
training is a plus.
Previous experience in receptionist, administrative support, or order
coordination roles preferred.
Basic knowledge of inventory management, purchase orders, and billing
processes is advantageous.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with Sage software is a plus
Ability to multitask and prioritize in a fast-paced environment.
