In this role, you will provide essential support to two agents, ensuring efficient processes and exceptional client experiences. Success in the position requires strong attention to detail, adaptability, and a flexible schedule to accommodate on-site and in-home activities.

Required skills and qualifications:

  • 3–5 years of administrative experience (or 1–3 years in real estate)
  • Experience in real estate, real estate law (legal assistant), accounting, or residential construction/development considered an asset
  • Proficiency with Google Workspace (Docs, Sheets, Forms, Drive); experience with MLS Portal and Asana an asset
  • Strong interpersonal and communication skills; collaborative, transparent, and team-oriented
  • Personable and client-focused, with the ability to support Agents as internal clients
  • Highly organized with strong attention to detail and accurate data entry skills
  • Ability to multitask, prioritize, and work effectively under pressure
  • Capable of working both independently and as part of a team
  • Bilingualism considered an asset
  • Must have own vehicle and a valid driver’s license

Duties may include but are limited to:

  • Prepare a property listing for market, manage listings while active, and ensure all file and client care requirements are completed at the point of offer and closing
  • Manage MLS listings from start to finish
  • Coordinate and communicate effectively between agents and sellers
  • Support on-site and in-home activities, including walk-throughs, photo shoots, showings, and open houses
  • Complete FINTRAC ID verification and Receipt of Funds documentation
  • Provide administrative support to two real estate agents
  • Travel approximately 30% of the time for property-related tasks, including lock box management and client meetings
  • Submit timesheets on time to support payroll processing
  • Regularly submit mileage forms for approval
  • Track all tasks in Monday.com to ensure proper oversight and coverage
  • Maintain a strong understanding of all systems and tools necessary to perform job duties efficiently
  • Other duties as assigned

Schedule: Flexible availability required – core hours are Monday to Friday, 9:00 AM to 5:00 PM, with the ability to adjust based on workload and accommodate occasional evenings or weekends for on-site and in-home activities such as walk-throughs, photo shoots, showings, and open houses.

Wage: $28.00 to $30.00 per hour depending on experience
