Position Overview

The Customer Portal Specialist plays a key role in supporting the branch sales team by providing advanced customer service, managing order processes, resolving disputes, and ensuring a seamless customer experience from order placement through payment. This position also supports front desk operations as needed.


Key Responsibilities

  • Serve as a primary point of contact for customer inquiries, with a focus on dispute resolution
  • Build and maintain strong relationships with a diverse customer base, including Fortune 500 companies
  • Communicate with customers, suppliers, and internal teams via phone, email, and web-based platforms
  • Process orders, provide quotes, and manage order status to ensure timely fulfillment
  • Proactively monitor open orders to maximize fill rates and customer satisfaction
  • Identify root causes of issues and implement effective resolutions
  • Support pricing activities by gathering market feedback and preparing quotes or proposals
  • Collaborate with the sales team to support key initiatives and drive customer satisfaction
  • Assist with front desk responsibilities, including phone coverage and greeting visitors
  • Contribute to continuous improvement efforts and customer service excellence
  • Perform additional duties as assigned

Qualifications

Education:

  • High School Diploma or GED required
  • Bachelor’s Degree preferred

Experience:

  • Minimum of 2 years of customer service, sales, or related experience
  • Experience in distribution or similar industry is a plus

Skills & Competencies

  • Strong customer service mindset with excellent communication skills
  • Proven problem-solving abilities with strong attention to detail
  • Highly organized with the ability to manage multiple priorities and deadlines
  • Self-motivated with the ability to work independently and within a team
  • Strong interpersonal and negotiation skills
  • Proficient in Microsoft Office (especially Excel) and web-based systems
  • Experience with data analysis, reporting, and order management systems preferred
  • High energy, adaptable, and committed to exceeding customer expectations
