Role Overview

We are seeking a professional and solutions-oriented Customer Service Representative to support the Service Department. In this role, you will serve as a key liaison between customers, service technicians, and internal teams to ensure efficient scheduling, clear communication, and seamless service experience. The ideal candidate is a "people person" who thrives in a fast-paced environment and can manage multiple priorities with accuracy, patience, and a positive attitude.

Key Responsibilities

Inbound Support: Manage a high volume of incoming calls and emails related to service inquiries, equipment issues, and scheduling needs, providing clear and timely assistance.

Service Coordination: Schedule service appointments, dispatch technicians, and communicate updates regarding service timelines, delays, and completion status.

Account Management: Maintain accurate customer and service records by updating account details and documenting all interactions in internal systems.

Problem Solving: Identify customer concerns related to service or equipment performance, troubleshoot when possible, and escalate complex issues to technicians or management as needed.

Product & Service Knowledge: Develop a strong understanding of equipment, service offerings, warranties, and maintenance processes to provide informed support.

Follow-Up: Ensure customer satisfaction by conducting follow-ups on open service tickets, verifying resolution, and addressing any remaining concerns.

Internal Communication: Collaborate closely with parts, sales, and service teams to ensure efficient workflow and customer satisfaction.

Requirements

Communication: Exceptional verbal and written communication skills with a professional and courteous phone manner.

Tech Proficiency: Comfortable using scheduling systems, service management software, and handling multiple digital tools simultaneously; basic data entry skills required (40+ WPM preferred).

Adaptability: Ability to remain calm, organized, and professional in a fast-paced service environment, especially when handling urgent or challenging situations.

Reliability: Strong track record of punctuality, dependability, and consistent attendance.

Experience: 1–2 years of experience in customer service, dispatching, service coordination, or a professional office environment preferred; experience in equipment or service-based industries is a plus.
