Position Summary
We are seeking a detail-oriented and experienced Bookkeeper / Administrative & HR Specialist to support all financial, administrative, and human resources functions within the organization.
This role is responsible for maintaining accurate financial records, managing accounts payable and receivable, performing reconciliations, and ensuring compliance with accounting standards. In addition, this position supports payroll, HR processes, and general administrative operations.
The ideal candidate will have strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Bookkeeping / Accounting
Maintain and accurately code general ledger entries
Record all financial transactions, including income and expenses
Manage Accounts Receivable (AR): invoicing, collections, and deposits
Manage Accounts Payable (AP): process and pay vendor invoices timely
Perform bank, credit card, and vendor reconciliations
Monitor daily cash flow across accounts
Assist with project accounting and job costing, tracking budgets and expenditures
Support subcontractor accounting and reporting
Prepare trial balances and make necessary adjusting entries
Assist with month-end, quarterly, and annual close processes
Generate financial reports, metrics, and analysis
Support internal and external audits
Coordinate with CPA for tax filings and financial reporting
Oversee company payroll processing and payroll tax support
Administrative & Human Resources
Process payroll data and coordinate with payroll service providers
Prepare and distribute W-2s, 1099s, and related reports
Maintain employee tax and withholding records
Manage incoming and outgoing mail
Maintain organized accounting, HR, and office records
Oversee insurance policies, renewals, and claims
Coordinate vehicle and equipment registrations, maintenance, and repairs
Manage office supplies and vendor services
Support onboarding of employees and subcontractors
Ensure compliance with company policies and employee handbook
Administer employee benefits programs
Assist with HR programs, employee relations, and personnel matters
Develop and maintain standard operating procedures (SOPs)
Qualifications
Associate’s Degree in Accounting, Business Administration, or related field
5–7 years of bookkeeping or accounting experience
Strong proficiency in QuickBooks (Desktop and/or Online) and Microsoft Excel
Knowledge of GAAP principles and financial reporting
Experience with audits, chart of accounts restructuring, or financial restatements is a plus
Strong attention to detail and time management skills
Ability to prioritize and meet deadlines in a fast-paced environment
Preferred Experience
Background in construction or project-based accounting
Experience with job costing and project budgeting
Familiarity with administrative and HR functions
