Position Overview

We are seeking an Import & Logistics Operations Manager to provide strong operational ownership as our U.S. business scales from approximately 50 import containers per year to 200+ containers annually. This role serves as the operational backbone of the commercial organization, ensuring that imports, logistics, inventory, and customer service workflows are stable, accurate, and scalable.

This position is highly cross-functional and commercial in nature, partnering closely with Sales while owning execution across international supply coordination, logistics, documentation, inventory governance, and issue resolution. The Commercial Operations Manager enables the sales team to stay focused on revenue generation and customer growth by reducing operational friction and firefighting.

Key Responsibilities

Commercial & Operational Leadership

  • Serve as the primary owner of U.S. commercial operations, acting as the central point of accountability for order fulfillment, imports, and customer service logistics.
  • Support the sales organization by ensuring reliable product availability, accurate delivery commitments, and seamless order execution.
  • Act as the “head of customer service” for logistics-related activities, ensuring a high level of responsiveness and professionalism with customers.

International Supply & Import Coordination

  • Manage end-to-end execution of imported activated carbon materials, including coordination with internal production partners, international suppliers, freight forwarders, customs brokers, and 3PL providers.
  • Oversee ocean freight bookings, container movements, customs clearance, and final delivery to U.S. warehouses and customers.
  • Develop a strong understanding of imported raw and finished materials, lead times, and constraints specific to activated carbon products.

Logistics & Inventory Governance

  • Own inventory accuracy across warehouses and in-transit shipments, ensuring alignment between physical stock, systems, and documentation.
  • Establish and maintain inventory controls, reporting, and reconciliation processes to support growth and minimize disruptions.
  • Partner with warehouses and logistics providers to ensure proper handling, storage, and rotation of materials.

Process, SOP & Documentation Ownership

  • Build, document, and enforce scalable Standard Operating Procedures (SOPs) across order management, import logistics, inventory control, and customer service workflows.
  • Ensure accuracy and discipline across all shipping, customs, and commercial documentation.
  • Identify gaps, inefficiencies, and risks in existing processes and proactively implement improvements as volumes increase.

Exception & Issue Management

  • Proactively manage shipment delays, shortages, documentation issues, and customer escalations.
  • Troubleshoot operational problems quickly and effectively, balancing urgency with long-term process improvement.
  • Serve as the escalation point for complex logistics or customer service issues.

Team Leadership & Collaboration

  • Directly manage and support the Customer Service / Logistics Coordinator, providing guidance, prioritization, and development.
  • Collaborate closely with Sales, Finance, and global operations teams to ensure alignment on demand, supply, and customer commitments.
  • Support forecasting, order planning, and commercial execution as volumes and customer complexity grow.

Qualifications & Experience

  • 5–10 years of experience in operations, supply chain, logistics, or a closely related commercial operations role.
  • Strong hands-on experience with international import logistics, including ocean freight, customs clearance, and working with brokers and 3PLs.
  • Highly process-oriented, with strong attention to documentation accuracy and operational discipline.
  • Comfortable owning shipment execution, inventory governance, and customer-facing issue resolution.
  • Proven ability to build scalable processes and infrastructure in a growing or evolving business.
  • Experience working with imported industrial or manufactured materials preferred.
  • ERP or order management system experience a plus.
