Role Overview
We are seeking a reliable and organized Office Support / Dispatcher to join our team in Long Beach. This position plays a key role in supporting daily HVAC operations by handling administrative tasks, coordinating service schedules, and dispatching technicians. The ideal candidate will have prior dispatching experience and be familiar with local cities and streets to efficiently route field team members.
Key Responsibilities
Customer Service & Communication:
Answer and direct incoming phone calls and emails in a professional manner. Greet customers in person with courtesy and provide basic HVAC service information. Relay messages to technicians and supervisors promptly.
Clerical & Administrative Duties:
Perform data entry of customer information, service orders, and inventory. Prepare invoices, work orders, and service documentation. Maintain accurate electronic and paper filing systems. Assist with billing, account follow-up, and payment processing. Compile reports as needed.
Dispatch & Scheduling:
Schedule, update, and confirm service and installation appointments. Dispatch technicians efficiently based on location and availability. Coordinate communication between office staff and field technicians. Maintain accurate job calendars and technician schedules.
Support to Office Manager:
Assist with ordering office supplies and tracking inventory. Help prepare correspondence and internal communications. Support special projects and ensure smooth day-to-day office operations.
Requirements & Qualifications
Experience:
Previous dispatcher experience is required. Experience in HVAC, service, or field operations is preferred.
Local Knowledge:
Strong familiarity with local cities, streets, and surrounding areas to efficiently route technicians.
Technical Skills:
Proficiency in Microsoft Office and scheduling/dispatch software; ability to learn new systems quickly.
Communication:
Excellent verbal and written communication skills with strong customer service abilities.
Organization:
Strong multitasking skills with attention to detail in a fast-paced environment.
