Administrative Assistant

Schedule: Monday–Friday, 7:00 AM – 3:30 PM or 6:00 AM – 3:30 PM
(30-minute or 1-hour lunch)

Position Overview

We are seeking a professional and detail-oriented Administrative Assistant to support daily operations for a well-established organization in Fort Myers. This role serves as the first point of contact for visitors and staff while providing high-level administrative and HR support. The ideal candidate is organized, dependable, and thrives in a fast-paced, team-oriented environment.

Key Responsibilities

Front Desk & Office Support (25%)

  • Greet visitors, candidates, and employees with a friendly and professional attitude
  • Answer and route incoming calls efficiently
  • Manage front desk operations and assist with candidate check-ins and paperwork
  • Serve as a point of contact for leadership support as needed

Administrative Functions (40%)

  • Handle incoming/outgoing mail, shipments, and deliveries
  • Coordinate travel arrangements for staff and leadership
  • Maintain office supplies, materials, and inventory levels
  • Prepare documents and materials for onboarding, training, and meetings
  • Provide administrative support to various departments
  • Assist with internal communications and employee recognition efforts
  • Manage apparel orders and promotional items

Projects & Events (25%)

  • Assist with planning and execution of company events and employee engagement initiatives
  • Support special projects in collaboration with internal teams

Compliance & Tracking (10%)

  • Monitor and maintain employee licensing and certifications
  • Conduct routine audits to ensure compliance and accuracy

Qualifications

  • High school diploma required; Associate’s or Bachelor’s degree preferred
  • 3–5 years of administrative or customer service experience
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong verbal and written communication skills
  • Excellent organizational skills with attention to detail
  • Ability to multitask and prioritize effectively
  • Professional demeanor with a strong customer service focus
  • Ability to handle confidential information with discretion
  • Bilingual (English/Spanish) is a plus
