Administrative Assistant
Schedule: Monday–Friday, 7:00 AM – 3:30 PM or 6:00 AM – 3:30 PM
(30-minute or 1-hour lunch)
Position Overview
We are seeking a professional and detail-oriented Administrative Assistant to support daily operations for a well-established organization in Fort Myers. This role serves as the first point of contact for visitors and staff while providing high-level administrative and HR support. The ideal candidate is organized, dependable, and thrives in a fast-paced, team-oriented environment.
Key Responsibilities
Front Desk & Office Support (25%)
- Greet visitors, candidates, and employees with a friendly and professional attitude
- Answer and route incoming calls efficiently
- Manage front desk operations and assist with candidate check-ins and paperwork
- Serve as a point of contact for leadership support as needed
Administrative Functions (40%)
- Handle incoming/outgoing mail, shipments, and deliveries
- Coordinate travel arrangements for staff and leadership
- Maintain office supplies, materials, and inventory levels
- Prepare documents and materials for onboarding, training, and meetings
- Provide administrative support to various departments
- Assist with internal communications and employee recognition efforts
- Manage apparel orders and promotional items
Projects & Events (25%)
- Assist with planning and execution of company events and employee engagement initiatives
- Support special projects in collaboration with internal teams
Compliance & Tracking (10%)
- Monitor and maintain employee licensing and certifications
- Conduct routine audits to ensure compliance and accuracy
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 3–5 years of administrative or customer service experience
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong verbal and written communication skills
- Excellent organizational skills with attention to detail
- Ability to multitask and prioritize effectively
- Professional demeanor with a strong customer service focus
- Ability to handle confidential information with discretion
- Bilingual (English/Spanish) is a plus
