Position Overview

We are seeking a highly organized, proactive, and detail-oriented Office Manager to support daily operations and ensure our office runs efficiently. This role is ideal for someone who thrives in a dynamic environment, enjoys coordinating multiple responsibilities, and takes pride in creating smooth, professional experience for both internal teams and external partners.

 

Hours: Flexible but generally 8-5 M-Thur and 8am-12pm on Fridays

 

Key Responsibilities

  • Answer 5–15 incoming phone calls per day and route them to the appropriate extensions
  • Receive, sort, and distribute mail; enter bills and payments into QuickBooks
  • Review vendor invoices for accuracy and identify potential overcharges
  • Coordinate travel and conference schedules for outside sales staff, including booking arrangements
  • Manage employee expense reimbursements
  • Administer company benefits programs and coordinate with insurance providers
  • Oversee the Project Bid Schedule and distribute bid notices to vendors
  • Prepare weekly bank deposits and process bill payments
  • Provide administrative support to the President on outstanding tasks and initiatives
  • Oversee day-to-day office operations to maintain an organized and efficient work environment
  • Serve as the primary point of contact for internal staff, clients, and manufacturer partners
  • Manage incoming calls, emails, and general correspondence
  • Support project coordination through documentation, scheduling, and communication
  • Assist with order processing, tracking, and follow-up
  • Maintain office supplies, equipment, and vendor relationships
  • Prepare reports, organize files, and support basic accounting or invoicing tasks
  • Coordinate meetings, travel arrangements, and company events
  • Ensure a professional and welcoming atmosphere for visitors and team members

Qualifications

  • Previous experience in office management, administrative support, or a similar role
  • Strong organizational skills with the ability to multitask effectively
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office Suite and general office software
  • Ability to work independently, prioritize tasks, and take initiative
  • Professional, friendly, and solution-oriented mindset
