Job Title: Administrative Coordinator – Landscaping Company

Job Summary:
We are seeking a detail-oriented and organized Administrative Coordinator to support the daily operations of our landscaping company. This role is responsible for managing certified payroll, coordinating communication with customers and vendors, assisting with permit applications, and ensuring timely ordering of supplies. The ideal candidate is proactive, communicative, and comfortable working in a fast-paced environment.

Key Responsibilities:

  • Process and manage certified payroll in compliance with applicable regulations and reporting requirements
  • Respond promptly and professionally to customer inquiries via phone, email, and in person
  • Coordinate and maintain effective communication with vendors and suppliers
  • Prepare, submit, and track permit applications to ensure project compliance
  • Order and manage inventory of landscaping materials and supplies
  • Maintain accurate records, documentation, and filing systems
  • Assist with scheduling, project coordination, and general administrative tasks as needed

Qualifications:

  • Previous administrative or office experience (construction or landscaping industry preferred)
  • Experience with certified payroll or willingness to learn compliance requirements
  • Strong communication and customer service skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency in Microsoft Office (Excel, Word, Outlook); QuickBooks or similar software is a plus
