Inside Sales & Administrative Specialist

Position Summary: Support sales and operations by handling inside sales, customer service, order processing, and administrative tasks. Act as a primary point of contact for customers, coordinate between sales, engineering, production and shipping, and maintain accurate records to ensure timely, accurate delivery of products and related components.

Key Responsibilities:

• Inside Sales & Customer Service

• Respond to inbound customer inquiries by phone, email, and web leads.

• Qualify leads, provide product information, generate quotes, and follow up to

close orders.

• Maintain pricing, product availability, lead-times and recommend

alternatives when needed.

• Prepare and send proposals, formal quotes, and sales acknowledgements.

• Upsell related components, maintenance contracts, or expedited services

when appropriate.

• Order Management & Coordination

• Enter and manage sales orders in ERP systems; verify part numbers, BOMs,

and customer specifications.

• Coordinate order acceptance, production routing, scheduling, and shipping

with production, purchasing, and logistics teams.

• Track order status and proactively communicate delays or changes to

customers and internal stakeholders.

• Generate and distribute sales documents (packing lists, invoices, certificates

of compliance).

• Administrative & Documentation

• Answer all inbound calls, web forms, and Google inquiries.

• Maintain accurate customer records, pricing lists, product files, and

quote/order history in ERP.

  • Prepare routine reports (sales metrics, backlog, quotes outstanding) for

    management.

    • Assist with inventory checks, purchase requisitions for common stock items,

    and vendor follow-up.

    • Manage returns, warranty claims, RMA processing and coordinate

    repairs/refurbishments.

    • Route technical questions appropriately.

    • Schedule calls, conference calls, meetings, or site visits.

    • Technical & Cross-Functional Support

    • Work with engineering/estimating to clarify specifications, subassemblies,

    wiring diagrams, and approvals.

    • Review customer drawings and documentation for completeness; escalate

    technical issues.

    • Support marketing activities: update product listings, assist with tradeshow

    logistics and collateral.

    Qualifications:
  • Education: High school diploma or equivalent required; associate degree or

    technical diploma preferred.

    • Experience: 2+ years inside sales, customer service, or administrative experience in manufacturing, electrical

    • Proficiency with CRM and ERP systems (e.g., Salesforce, Epicor, NetSuite, or

    similar) and MS Office (Excel, Word, Outlook)

Salary: $22-24/hr plus commission
