A leading manufacturer of American-made fire helmets, is seeking a Shipping and Receiving Coordinator to handle all of our shipping and receiving needs. 

 

Shipping Duties and responsibilities

  • Process domestic and international shipments using Fishbowl, Starship, Therefore, UPS WorldShip, QuickBooks, or other systems.
  • Prepare and execute shipments across small-parcel, LTL, and freight carriers (UPS, FedEx, DHL, LTL providers).
  • Generate and compare freight rates to determine the most cost-effective shipping method.
  • Conduct quality inspections on outgoing orders to ensure accuracy, completeness, and compliance with product standards.
  • Match, verify, and file signed Bill of Landing freight documentation the Therefore system.
  • Execute detailed reviews of import and export documentation, including commercial invoices, international bills of lading, and related records, ensuring compliance with U.S. and international trade regulations.
  • Document any discrepancies or quality issues in the Quality Issues Log.
  • Scan, upload, and maintain accurate shipment records, logs, and digital files in the Therefore system.
  • Coordinate with freight forwarders, third-party logistics partners, distributors, and customers to resolve shipment needs or issues.
  • Maintain a clean and organized shipping area aligned with Lean manufacturing practices.
  • Maintain strong working relationships with distributors, freight forwarders, third-party logistics providers, and customers.
  • Maintain current knowledge of U.S. government import and export requirements.
  • Contribute to organizational goals, core values, and continuous improvement initiatives.
  • Represent the organization at industry trade shows and customer meetings as assigned.
  • Apply critical thinking and creative problem-solving skills while maintaining strong attention to detail.
  • Perform other duties as required to support business needs.

 

Receiving Duties and responsibilities

  • Receive, inspect, and verify incoming shipments of materials, components, and supplies.
  • Match packing lists, purchase orders, and invoices to ensure accuracy of received goods.
  • Document and report discrepancies, damages, shortages, or overages to the Inventory Lead.
  • Process incoming materials in the company’s ERP or inventory system, ensuring accurate and timely data entry.
  • Label, tag, and route received items to appropriate storage locations.
  • Maintain organized receiving areas, ensuring safe movement of materials and compliance with Lean principles.
  • Communicate with Inventory Lead and internal teams to resolve receiving issues or delays.
  • Assist with cycle counts, inventory reconciliation, and stock accuracy efforts.
  • Operate pallet jacks, dollies, or other material-handling equipment as required.
  • Support continuous improvement of receiving workflows, storage efficiency, and material traceability.

Minimum Qualifications

  • High school diploma or equivalent, or comparable work experience/training.
  • Proficiency with Microsoft Office Suites or Google Workspace.
  • Familiarity with industry-standard shipping solutions and best practices (UPS, FedEx, USPS).
  • One years’ shipping experience including international shipping.
  • Experience communicating with LTL / UPS carrier companies
  • Experience with material packaging and handling.
  • Basic reading, writing, and arithmetic skills.
  • Strong attention to detail and commitment to quality.
  • Ability to work independently and collaboratively in a team environment.
  • Willingness to follow and support Lean manufacturing principles.

Ideal Candidate Qualifications

  • Three to five years’ shipping experience including international shipping.
  • Experience working in a manufacturing or production environment.
  • Demonstrated meticulous attention to detail.
  • Strong commitment to continuous improvement and operational excellence.

Physical requirements

  • Minimum lift requirements of 25lbs.
  • Ability to push, pull and team lift up to 50 lbs. throughout the shift.
  • Ability to stand and walk for extended periods.
  • Ability to bend, stoop, reach, and crouch to access materials, pallets, and packaging supplies.
  • Ability to operate pallet jacks, dollies, or other basic material-handling equipment (manual or powered).
  • Sufficient hand-eye coordination and manual dexterity for labeling, packaging, and securing shipments.
  • Ability to navigate warehouse or shipping areas safely, including around equipment and stacked materials.
  • Ability to lift and position boxes onto pallets, conveyors, or shipping tables as needed.
  • Ability to tolerate varying warehouse conditions, such as temperature changes .
  • Sufficient visual and auditory ability to read labels, shipping documents, and communicate with carriers or team members.
  • Ability to perform repetitive motions, including scanning, taping, lifting, and handling shipments.
