Office Administrative Assistant/ Office Manager
Schedule: M-F, 8:00 am - 5:00 pm
Pay: 26.00/hour - 28.00/hour
This is a versatile, fast-paced position that requires strong communication skills and the ability to handle sensitive and financial information with accuracy and discretion, while prioritizing work and making sound decisions independently.
Office Administration:
- Perform general administrative duties including filing, data entry, copying, scanning, and maintaining organized records
- Answer and direct phone calls, emails, and other correspondence in a professional manner
- Manage office supply inventory and place orders as needed
- Assist with preparing reports, presentations, and other documents
- Maintain a clean, organized, and efficient office environment
Customer Service:
- Serve as the first point of contact for customers, clients, and visitors - in person, by phone, and via email
- Respond to customer inquiries promptly and professionally, resolving issues or escalating as appropriate
- Maintain accurate customer records and update databases with relevant information
- Follow up with customers to ensure satisfaction and build positive relationships
- Handle complaints with empathy and a solutions-oriented approach
Purchasing & Procurement:
- Process purchase orders and coordinate with vendors and suppliers
- Obtain quotes, compare pricing, and assist in selecting cost-effective vendors
- Track orders and ensure timely delivery of goods and services
- Reconcile purchase orders and invoices to ensure accuracy
- Build and maintain positive relationships with vendors and suppliers
Financial & Business Support:
- Support accounts payable and accounts receivable processes, including invoice processing, payment tracking, and follow-up
- Ensure accuracy and completeness of financial documentation
- Support daily operations by ensuring administrative, purchasing, and financial activities align with business and production needs
- Maintain confidentiality when handling financial and business-sensitive information
Required
- High school diploma or equivalent
- 1–3 years of experience in an office, customer service, or purchasing role
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Ability to multitask and work independently in a dynamic environment
- Demonstrated professionalism, reliability, and strong work ethic
- Strong attention to detail with the ability to handle confidential and financial information responsibly
- Solid business acumen with an understanding of how administrative work supports overall operations
Preferred
- Associate’s degree
- Experience with purchasing or inventory management software
- Familiarity with accounting or ERP systems
- Experience handling vendor negotiations or procurement processes
- Experience with accounts payable and/or accounts receivable processes
- Basic understanding of financial principles and office-related accounting practices
