We are seeking a motivated, organized, and professional Office Support Specialist to join our team. The ideal candidate has hands-on experience in customer service and purchasing, along with a strong sense of business awareness and accountability. This role plays a key part in supporting daily office operations and requires sound judgment, attention to detail, and the ability to handle sensitive and financial information with accuracy and discretion.

 

 

Office Administrative Assistant/ Office Manager 

 

Schedule: M-F, 8:00 am - 5:00 pm

 

Pay: 26.00/hour - 28.00/hour 

 

This is a versatile, fast-paced position that requires strong communication skills and the ability to handle sensitive and financial information with accuracy and discretion, while prioritizing work and making sound decisions independently.

 

Office Administration:

  • Perform general administrative duties including filing, data entry, copying, scanning, and maintaining organized records
  • Answer and direct phone calls, emails, and other correspondence in a professional manner
  • Manage office supply inventory and place orders as needed
  • Assist with preparing reports, presentations, and other documents
  • Maintain a clean, organized, and efficient office environment

 

Customer Service:

  • Serve as the first point of contact for customers, clients, and visitors - in person, by phone, and via email
  • Respond to customer inquiries promptly and professionally, resolving issues or escalating as appropriate
  • Maintain accurate customer records and update databases with relevant information
  • Follow up with customers to ensure satisfaction and build positive relationships
  • Handle complaints with empathy and a solutions-oriented approach

 

Purchasing & Procurement:

  • Process purchase orders and coordinate with vendors and suppliers
  • Obtain quotes, compare pricing, and assist in selecting cost-effective vendors
  • Track orders and ensure timely delivery of goods and services
  • Reconcile purchase orders and invoices to ensure accuracy
  • Build and maintain positive relationships with vendors and suppliers

 

 

 

Financial & Business Support:

  • Support accounts payable and accounts receivable processes, including invoice processing, payment tracking, and follow-up
  • Ensure accuracy and completeness of financial documentation
  • Support daily operations by ensuring administrative, purchasing, and financial activities align with business and production needs
  • Maintain confidentiality when handling financial and business-sensitive information

Required

  • High school diploma or equivalent
  • 1–3 years of experience in an office, customer service, or purchasing role
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Ability to multitask and work independently in a dynamic environment
  • Demonstrated professionalism, reliability, and strong work ethic
  • Strong attention to detail with the ability to handle confidential and financial information responsibly
  • Solid business acumen with an understanding of how administrative work supports overall operations

 

Preferred

  • Associate’s degree
  • Experience with purchasing or inventory management software
  • Familiarity with accounting or ERP systems
  • Experience handling vendor negotiations or procurement processes
  • Experience with accounts payable and/or accounts receivable processes
  • Basic understanding of financial principles and office-related accounting practices
