 We are a growing office specializing in heating and cooling installation and products. Our team is dedicated to providing top-notch service and building strong relationships with our clients. We are looking for a friendly and organized Front Desk Receptionist to join our team.

 

 

 

Responsibilities:

  • Phone Management: Handle incoming and outgoing phone calls with professionalism and courtesy, ensuring all inquiries are addressed promptly and accurately.
  • Mail Handling: Manage incoming and outgoing mail, including sorting, distributing, and dispatching, to ensure timely and efficient communication.
  • Scheduling: Schedule appointments and manage calendars via email, coordinating with clients and team members to ensure smooth operations.
  • Customer Service: Greet and assist visitors, providing excellent customer service and creating a welcoming environment.
  • Administrative Support: Assist with various administrative tasks, such as filing, data entry, and maintaining office supplies.
  • Front Desk Maintenance: Maintain a clean and organized front desk area, ensuring it is presentable at all times.
  • Relationship Building: Build and maintain strong relationships with clients and team members, fostering a positive and collaborative work environment.

Requirements:

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment such as printers and fax machines.
  • Customer Service: Excellent customer service skills with a friendly and approachable demeanor, capable of handling inquiries and resolving issues effectively.
  • Organizational Skills: Strong organizational and multitasking abilities, with attention to detail and the ability to prioritize tasks.
  • Communication: Effective verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
  • Experience: Previous experience in a receptionist or administrative role is preferred, with a high school diploma or equivalent required.
  • Interpersonal Skills: Ability to build and maintain strong relationships with clients and team members, demonstrating empathy and understanding.
