Office Manager Position

 

Pay rate:  $25 

 

Position Overview:

We are seeking a highly organized, detail-oriented Office Manager to oversee all branch-level accounting operations. This role is responsible for Accounts Payable, Accounts Receivable, daily financial reporting, bank reconciliation, rental activity tracking, commission processing, and general office support functions.

The ideal candidate is proactive, analytical, and comfortable managing both accounting responsibilities and administrative tasks in a fast-paced branch environment.

Key Responsibilities

Accounts Payable & Accounts Receivable Oversight

  • Oversee all vendor and customer accounts.
  • Review and approve A/P invoice coding prior to posting.
  • Ensure vendor payments are processed twice monthly.
  • Reconcile monthly vendor statements.
  • Post customer payments to A/R based on remittance details after bank deposits are completed.
  • Conduct collections follow-up with customers twice monthly using aging reports.
  • Maintain accurate and current account balances.

Daily Financial Reporting & Bank Ledger Management

  • Oversee preparation of the daily financial activity report for the branch.
  • Ensure all daily transactions align with bank activity.
  • Maintain and monitor the bank ledger to validate daily report accuracy.
  • Track cleared checks and verify balances.
  • Ensure financial formulas and data entries are accurate and reconciled.

Rental Activity Tracking

  • Track daily rental charges and payments.
  • Maintain internal workbooks to monitor amortizations and interest calculations (Prime + 2%).
  • Ensure rental repairs are properly allocated to equipment and collected within final sales.
  • Generate accurate sales invoices.
  • Support sales team with precise financial data related to rentals and purchases.

Sales Commission Administration

  • Process and verify commission payments.
  • Ensure sales staff are compensated promptly when customer payments are received for rentals or equipment purchases.

Administrative & Office Support

  • Order and maintain office supplies.
  • Answer and direct incoming phone calls.
  • Maintain organized filing systems (physical and electronic).

Qualifications

  • 3+ years of accounting or bookkeeping experience.
  • Strong understanding of Accounts Payable, Accounts Receivable, and reconciliations.
  • Experience with daily financial reporting and ledger management.
  • Proficiency in Excel and accounting software.
  • High level of accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities independently.
  • Professional communication skills for customer collections.

 

Preferred Qualifications

  • Experience in equipment rental, construction, or similar industry.
  • Experience calculating interest-based billing.
  • Prior supervisory or branch-level accounting experience.
