Administrative Assistant Job Summary:
A West Michigan specialty service and supplier is looking for a versatile, friendly, and detail-oriented Administrative Assistant to join their team. This role is perfect for someone who enjoys variety, takes initiative, and thrives in a collaborative environment. You’ll be the first point of contact for visitors and incoming calls while also supporting work orders, billing, shipping, inventory tracking, and other administrative functions across multiple locations.
Administrative Assistant Responsibilities:
- Greet walk-in customers and answer incoming phone calls with a positive, professional attitude
- Respond to customer inquiries via email and manage shared inboxes
- Create and update customer profiles in the internal system (BC)
- Generate work orders and process customer invoices
- Process credit card payments and assist with customer billing and deposits
- Maintain customer billing information and assist with basic collections follow-up
- Generate UPS labels, package shipments, and coordinate freight scheduling as needed
- Help organize and maintain customer purchase orders and internal documentation
- Receive, inspect, and stock incoming shipments
- Create and update Excel spreadsheets and documents for internal tracking
- Scan, file, and archive documents electronically using internal filing systems
- Help monitor inventory levels, generate part labels, and support order fulfillment across locations
- Provide historical order information and support internal teams as needed
- Assist with light office upkeep including sweeping, dusting, and general organization
- Jump in on other projects and offer help when things are slow — a true team player
Schedule & Pay
- Office hours are 7:00am–5:00pm Monday–Friday. Typical schedule will be 8:30am–5:00pm most days with one to two days per week working 7:00am-3:30pm to help ensure office coverage
- $21–$23/HR depending on experience
Administrative Assistant Qualifications:
- Prior administrative or office support experience required
- Strong attention to detail and a “what else can I do?” mindset
- Billing, shipping, or order processing experience preferred
- Comfortable using Microsoft Excel, Outlook, and general office software
- Experience working with ERP systems (Business Central or similar) is a plus
- Able to lift up to 50 lbs occasionally and assist with light physical tasks
- Flexible, dependable, and confident juggling shifting priorities
- Strong communication skills and a customer-focused attitude
- Thrives in a collaborative team setting
