Customer Account Specialist

We are seeking a detail-oriented Customer Account Specialist to support customer accounts, order processing, and financial transactions within a fast-paced manufacturing environment. This role plays a key part in ensuring accurate order entry, supporting accounts receivable processes, and maintaining strong communication with customers.

The ideal candidate will have experience working with customer accounts, billing, and financial transactions, and be comfortable navigating between accounting functions, order management, and customer communication.

This position requires someone who is organized, detail-focused, and confident communicating with customers by phone, as they will regularly review account details, address billing questions, and assist with order-related inquiries.


Key Responsibilities

Accounts Receivable Support

  • Post customer payments and checks to accounts immediately upon receipt

  • Research and resolve payment discrepancies and billing issues

  • Review customer account activity and assist with maintaining accurate financial records

Order & Data Entry Support

  • Receive and enter customer purchase orders into the system

  • Verify order accuracy including items, descriptions, quantities, pricing, billing, and shipping information

  • Confirm payment terms and customer account details

  • Determine appropriate ship dates based on inventory availability and production lead times

  • Complete order acknowledgment and confirmation processes with customers

Logistics & Shipping Support

  • Coordinate shipping arrangements and determine appropriate shipping methods

  • Create shipping labels and packing lists

  • Invoice customers once shipments are completed

Additional Responsibilities

  • Communicate professionally with customers regarding orders, billing, and account information

  • Maintain accurate documentation and reports related to customer accounts and transactions

  • Support accounting and leadership teams with additional administrative or accounting-related duties as needed


Compensation

  • $18 – $21 per hour, depending on experience


Qualifications

  • High School Diploma required

  • 3+ years of job-related accounting or customer account support experience, preferably in A/R or A/P functions

OR

  • Two years of technical school or post-secondary education with at least 1 year of related accounting experience


Preferred Skills & Experience

  • Experience working with Accounts Receivable (A/R) and Accounts Payable (A/P) functions

  • Comfortable reviewing customer billing history, account activity, and order records

  • Strong data entry accuracy and attention to detail

  • Proficiency with computers and Microsoft Excel for reporting and tracking

  • Excellent communication and phone skills when working with customers

  • Ability to multitask and stay organized in a fast-paced environment

  • Team-oriented mindset and willingness to support multiple departments

  • Manufacturing industry experience is a plus

They should be confident communicating with customers, able to troubleshoot account questions, and committed to maintaining accurate financial and order records.
