Position Summary
The Appointment Clerk is responsible for answering and managing appointment lines efficiently, professionally, and courteously. This role ensures that clients receive accurate information, appropriate appointment scheduling, and referrals to the correct clinic or department when necessary.
Work Schedule
Work schedules may vary and require flexibility to support operational needs.
Possible shifts include:
- Monday – Friday: 7:00 AM – 4:00 PM
- Monday – Friday: 8:00 AM – 5:00 PM
- Monday – Friday: 11:00 AM – 8:00 PM
- Saturdays: 7:00 AM – 3:00 PM
Essential Duties and Responsibilities
Appointment Scheduling & Client Communication
- Answer appointment phone lines promptly and courteously.
- Provide information regarding clinic hours, services, and available appointments.
- Schedule appointments for clients and referrals.
- Determine client category (new, annual, revisit, etc.).
- Inform clients of estimated visit fees prior to appointments and document notification.
- Cancel or reschedule appointments in accordance with clinic policies.
Client Education & Referral
- Explain FDA-approved birth control methods when appropriate.
- Provide instructions on selected birth control methods when needed.
- Inform callers of all options available in cases of unintended pregnancy.
- Refer callers seeking abortion-related information to appropriate referral services.
Administrative Support
During slower appointment periods, responsibilities may include:
- Reminder calls for upcoming appointments
- Assisting with administrative functions
- Computer support
- Posting payments
- Typing documents
- Copying and distributing materials
Reporting & Compliance
- Review client cases to ensure compliance with governmental grant policies.
- Assist with statistical reporting as needed.
- Assist with weekly billing tasks when required.
Front Desk Support
- Perform receptionist duties when the front desk receptionist is unavailable.
Additional Duties
- Perform other related duties as assigned.
Customer Service Responsibilities
The Appointment Clerk is responsible for delivering excellent internal and external customer service by:
- Answering phones promptly (ideally within three rings)
- Properly identifying themselves and the organization when answering calls
- Routing calls efficiently and minimizing hold times
- Checking voicemail messages daily and responding as necessary
- Demonstrating active listening skills
- Addressing inquiries, concerns, and complaints professionally
- Escalating unresolved issues to appropriate personnel
Quality & Risk Management
- Maintain knowledge of the organization’s Quality and Risk Management program.
- Follow compliance procedures related to quality and risk.
- Report issues, concerns, or compliance deviations using appropriate reporting mechanisms.
Productivity Responsibilities
- Contribute to departmental productivity goals.
- Provide feedback to improve scheduling, patient flow, and clinic efficiency.
- Participate in initiatives that improve service delivery and operational performance.
Qualifications
Education
High School Diploma or equivalent required.
Licensure / Certification
- Valid state driver’s license
- Current automobile liability insurance
Experience
- Minimum of one year of office experience
- Computer experience required
- Telephone etiquette experience
Working Knowledge
General knowledge of computer systems and office software.
Interpersonal Skills
- Bilingual in English and Spanish (written and verbal)
- Ability to communicate effectively with staff, physicians, clients, and families
- Must demonstrate tact, patience, enthusiasm, and cultural sensitivity
Technical Skills
Ability to operate standard office equipment including:
- Multi-line telephone system
- Copier
- Fax machine
- Computer systems and software applications
