Position Overview:
A respected and well-established organization in Brookfield is seeking a highly organized Executive Assistant to the President to provide high-level administrative and operational support to executive leadership.
This role is ideal for an experienced administrative professional who has supported senior leadership, C-Suite executives, or high-level decision makers. The Executive Assistant will serve as a trusted partner to leadership while managing executive scheduling, confidential communications, and operational coordination across multiple stakeholders.
The position requires a polished professional who excels in executive support, calendar management, client relations, and administrative operations while maintaining the highest standards of discretion and professionalism.
Key Responsibilities:
Executive & Leadership Support
• Provide direct administrative support to the President and executive leadership team
• Manage complex executive calendars, scheduling meetings, appointments, and leadership engagements
• Coordinate internal and external communications on behalf of executive leadership
• Prepare meeting materials, reports, presentations, and executive documentation
• Maintain strict confidentiality when handling executive correspondence and sensitive information
Executive Office Operations:
• Serve as the primary administrative liaison for the Office of the President
• Coordinate cross-department scheduling and operational logistics
• Ensure smooth daily operations of the executive office environment
• Support executive decision-making with accurate documentation and information flow
Client & Stakeholder Relations:
• Act as a professional first point of contact for visitors, partners, vendors, and families
• Manage multi-line phone communications and high-volume inquiries
• Provide logistical guidance and service coordination in a professional environment
• Maintain a polished and welcoming front office experience
Scheduling & Event Coordination:
• Coordinate executive schedules with staff, vendors, community partners, and service providers
• Assist with planning and coordination of services, meetings, and organizational events
• Support logistical preparation including room setup, guest coordination, and materials preparation
Administrative Operations & Records Management:
• Maintain organized administrative records and case documentation in company systems
• Prepare printed materials, documentation packets, and service-related paperwork
• Ensure compliance with internal administrative procedures and operational standards
Office Administration & Vendor Coordination:
• Maintain organized office systems, supplies, and administrative records
• Coordinate vendor communications and operational documentation
• Support efficient office operations and administrative workflows
Marketing & Community Engagement Support:
• Assist with website updates, outreach materials, and communications
• Support community seminars, workshops, and engagement initiatives
• Help maintain the organization’s professional public presence
Minimum Qualifications:
• 3+ years experience in an Executive Assistant, Senior Administrative Assistant, Office Manager, or Leadership Support role
• Experience supporting C-Suite executives, senior leadership, or high-level office environments preferred
• Strong calendar management and executive scheduling experience
• Exceptional written and verbal communication skills
• Strong attention to detail and organizational skills
• Ability to manage confidential information with professionalism and discretion
• Proficiency with Microsoft Office Suite including Outlook, Word, and Excel
• Ability to learn internal systems and administrative software quickly
• Valid driver’s license with ability to complete occasional local errands
• Reliable commute to the Brookfield office location
Work Schedule:
• Full-time position
• Flexibility required for occasional evenings, weekends, or holidays depending on service schedules
• Participation in an on-call rotation with advance notice and training
• Occasional participation in community outreach events
Compensation & Benefits
• Competitive salary: $55,000 – $65,000 depending on experience
