Job Summary
The Procurement Specialist supports the purchasing and inventory functions of the organization, with a strong focus on MRO (Maintenance, Repair, and Operations) inventory management. This role is responsible for assisting with inventory counts, entering data into the ERP system, contacting suppliers, gathering quotes, issuing purchase orders, and managing multiple priorities within the procurement process. Strong computer skills and the ability to manage several work streams simultaneously are essential.
Primary Duties & Responsibilities
MRO Inventory Management
•Assist with all aspects of the MRO inventory management process.
•Enter inventory data accurately into the ERP system.
•Monitor inventory levels and communicate shortages or discrepancies.
•Physically Catalogue items into ERP system
•Help in development and implementation of MRO system
•Contact suppliers and participate in MRO bid packaging.
Procurement & Purchasing
•Support buyer responsibilities, including sourcing materials and supplies.
•Contact suppliers to obtain pricing, lead times, and product information.
•Gather quotes and conduct basic competitive bid evaluations.
•Create and issue purchase orders in the ERP system.
•Follow up on open orders to ensure timely delivery.
•Maintain supplier account information and vendor records.
Supplier & Account Management
•Communicate professionally with suppliers regarding orders, shipments, and issue resolution.
•Assist in developing and maintaining positive supplier relationships.
ERP & Data Management
•Enter and maintain accurate purchasing, inventory, and supplier data in the ERP system.
•Run basic reports for procurement metrics, inventory status, and order tracking.
General Administrative & Coordination Tasks
•Support multiple work streams and manage shifting priorities in a fast-paced environment.
•Coordinate with Maintenance, Operations, and Accounting teams as needed.
•Assist with process improvements related to inventory control and procurement workflows.

Knowledge, Skills, & Abilities
•Knowledge of procurement practices, supply-chain processes, and inventory management principles.
•Strong understanding of purchasing procedures, competitive bidding, supplier evaluation, and contract terms.
•Proficiency with computers, including Microsoft Excel, Outlook, and ERP systems (IFS or similar).
•Ability to communicate clearly and professionally—both verbally and in writing—with internal teams and external suppliers.
•Ability and willingness to teach others procurement processes and support cross-functional teams.
•Demonstrates discretionary effort by taking initiative, seeking improvements, and consistently acting in the best interest of the business.
•Strong organizational skills and the ability to manage multiple priorities and deadlines simultaneously.

Physical & Work Environment Requirements
While performing the duties of this job, an employee is typically required to:
•Sit, stand, walk, bend, reach, and perform repetitive motions throughout the workday.
•Use a computer for extended periods to enter data, review documents, generate reports, and communicate with suppliers.
•Lift and move materials or documents weighing up to 50 pounds as needed.
•Conduct physical inventory checks, requiring movement through warehouse or storage areas, climbing stairs, and reaching for inventory items.
•Read, write, listen, speak, and understand English to follow instructions, review contracts, communicate with vendors, and complete documentation accurately.
•Identify, analyze, and solve procurement, inventory, and supplier-related issues using judgment and practical knowledge of systems and processes.
•React quickly in response to supply issues, delivery delays, or urgent operational needs.
•Record purchasing data, supplier communication, and inventory information accurately, either in writing or electronically.
•Work independently with minimal supervision while also collaborating as part of a team.
•Maintain awareness of surroundings in warehouse or production areas when verifying inventory or meeting with operations personnel.
•Use, monitor,and adjust ERP and related procurement tools to support purchasing workflows and maintain accurate records.
Education: High school diploma or equivalent required. Associate’s degree in business, supply chain, or a related field preferred, Bachelor’s degree a plus, but not required
Licensing: A valid driver’s license is preferred.
Experience: At least three years of experience in purchasing, inventory management, or supply-chain operations, with a strong understanding of MRO materials and vendor coordination.
Work Hours: The standard workweek consists of 40 hours. Employees may choose from the following schedule options: Monday through Friday, 8-hour days Monday through Thursday, 10-hour days Monday through Thursday, 9-hour days with a 4-hour shift on Friday
Working Conditions: While performing the duties of this job, an employee is typically exposed to dust, loud noise, high places, confined spaces, very low and/or bright light, and outside weather conditions. Primarily works alone but may work as part of a team working in close proximity to others and works in close proximity with equipment.
