Salary: $50,000 to $55,000

Our client, a highly regarded not-for-profit organization in downtown Ottawa, is seeking an experienced Administrative Associate (Assistant) to join their team. This in-office opportunity allows you to support a purpose-driven organization committed to advancing and shaping Canada’s business landscape.

Duties may include, but are not limited to:

  • Provide administrative support to the SVP, Client Services, as required
  • Maintain and update accurate database distribution lists
  • Assist with the updating and maintenance of Minute Books
  • Coordinate logistics for member meetings, including preparing meeting materials (stationery, name tags, and tent cards) and arranging travel and accommodations for speakers and members
  • Support membership recruitment initiatives by researching and compiling information and assisting with outreach and communications
  • Prepare and reconcile expense reports
  • Schedule meetings and coordinate travel arrangements
  • Provide backup administrative support to other Administrative Assistants as needed
  • Monitor and manage member fee payments, including issuing invoices, sending receipts, and following up on outstanding balances
  • Perform additional duties as assigned by the SVP, Corporate Services

Required skills and qualifications:

  • 2+ years of experience as an Administrative Assistant, preferably supporting senior executives
  • Excellent organizational and prioritization skills
  • Strong written and verbal communication skills (English)
  • Proficient in electronic and virtual meeting platforms
  • Autonomous and self-motivated
  • Strong problem-solving and critical thinking skills
  • Meticulous attention to detail
  • Collaborative team player attitude
  • High degree of professionalism and discretion
  • Ability to maintain confidentiality
  • Comfortable working in-office

Monday to Friday – 9:00am to 5:00pm

Salary: $50,000 - $55,000 per year
