Location: North York, ON (Finch and Weston)
Salary: $75,000 – $85,000

About the Opportunity

Our client is seeking a Project Coordinator to support the successful delivery of industrial storage and material handling projects. Working closely with the Project Manager, this role will assist in coordinating projects throughout the full lifecycle—from initial planning through execution and final closeout.

 

The successful candidate will play a key role in scheduling, documentation management, client communication, and project tracking. This position is ideal for someone with strong organizational skills who enjoys working in a collaborative environment while supporting multiple projects simultaneously.

Key Responsibilities

Project Coordination

  • Support the Project Manager through all phases of the project lifecycle including initiation, planning, execution, monitoring, and closeout.
  • Assist in coordinating projects ranging from $1M to $10M in value involving multiple internal teams, suppliers, and clients.
  • Maintain and update project schedules, budgets, and milestones.
  • Monitor project progress and report on status, risks, and schedule adjustments.
  • Support cost tracking and help ensure expenditures remain within project budgets.

Project Administration

  • Coordinate project activities including materials management, change orders, purchasing, contracts, insurance documentation, and expenses.
  • Assist with project billing and invoicing submissions.
  • Prepare and distribute status updates and progress reports to internal teams and clients.
  • Participate in meetings and support project communication between stakeholders.

Documentation & Systems

  • Manage project documentation and coordinate document revisions and distribution.
  • Upload project Bill of Materials (BOM) into the company ERP system.
  • Enter and maintain project data including status updates and schedule changes in project management systems.
  • Assist with project administrative tasks including meeting minutes, budget tracking, scheduling updates, and project closeout documentation.

Qualifications

Education

  • Degree in Engineering, Applied Science, or a related technical discipline

Experience

  • Minimum 5 years of experience in project coordination, project administration, or a related role.
  • Experience supporting projects within engineering, construction, manufacturing, or industrial environments is strongly preferred.
  • Exposure to structural systems, industrial equipment, or material handling solutions is considered an asset.

Technical Skills

  • Experience working with ERP systems and project tracking tools.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • AutoCAD experience is an asset.

Compensation & Benefits

  • Salary: $75,000 – $85,000 annually
  • Benefits: Comprehensive health and dental benefits (approximately 80% coverage) after 3 months
  • Vacation: 3 weeks paid vacation annually
