About the Role

The Administrative Specialist plays a key operational role within a busy property management company. This position supports day-to-day activities that keep the office organized, tenants informed, and property operations running smoothly. The ideal candidate is reliable, communicative, adaptable, and comfortable interacting with tenants—including those who may be upset or in violation of lease terms.


Key Responsibilities

Administrative & Office Support

  • Perform daily bank deposits with accuracy and professionalism.
  • Complete mail pickup, scanning, sorting, and mail drop-off as required.
  • Maintain organized physical and digital filing systems.
  • Prepare, complete, and process forms, documents, and internal paperwork.
  • Manage various other administrative tasks that support property management operations.

Tenant Communication & Support

  • Contact tenants regarding lease violations, questions, concerns, or required follow-ups.
  • Document tenant communication in the appropriate systems.
  • Professionally handle challenging conversations with diplomacy and firmness when necessary.

Communication & Coordination

  • Monitor inbound calls, emails, and messages; triage and assign inquiries to the appropriate team member.
  • Act as a reliable communication bridge between tenants, vendors, and internal staff.
  • Support team members by sharing updated information, documentation, or tenant status as needed.

General Property Management Assistance

  • Assist with miscellaneous property management tasks as assigned by supervisors.
  • Use internal software tools to update records, track requests, and access tenant files.
  • Quickly learn new systems and adopt workflow changes as the company grows.

Qualifications

Required Skills & Attributes

  • Strong communicator across phone, text, and email.
  • Highly organized with strong attention to detail.
  • Comfortable with confrontation and able to remain calm, respectful, and assertive when dealing with upset tenants.
  • Fast learner when introduced to new software or processes.
  • Dependable, punctual, and able to manage time effectively in a fast-paced environment.

Preferred Experience

  • Prior experience in property management, customer service, administrative support, or office operations is a plus but not required.
  • Familiarity with property management software or CRM systems is helpful.

Work Environment

  • Full-time, on-site position.
  • Requires occasional driving for bank runs, mail duties, or property-related errands.
  • Collaborative and supportive team environment with opportunities to expand responsibilities over time.
