Job Title: Order Entry Clerk
Pay Rate: $19.00 per hour
Schedule: Monday–Friday, 8:00 AM – 4:30 PM (30-minute unpaid lunch)


Position Summary

The Order Entry Clerk (Order Entry Coordinator – Equipment) provides administrative support for spare parts and dimer order processing and serves as a resource and back-up to the Equipment Customer Service team. This role is responsible for high-volume electronic data entry, customer communication, order coordination, and general administrative support.

This position requires prior data entry experience, strong critical thinking skills, and strong computer proficiency. Please note: Call center experience alone is not considered relevant for this role.


Essential Duties & Responsibilities

  • Perform administrative functions required to process and expedite sales orders.

  • Enter external and inter-company spare parts and dimer orders into the company ERP system.

  • Complete purchase order (PO) review and provide customer status updates.

  • Coordinate returns and credits.

  • Prepare quotes for external and inter-company spare parts and dimer orders.

  • Follow company procedures for processing credit card orders.

  • Promptly respond to customer inquiries via phone and email.

  • Prepare professional correspondence with customers via email and letters.

  • Maintain daily, monthly, and yearly filing of equipment and dimer orders.

  • Identify changes in spare parts costs within the system and communicate updates to the Customer Service Representative and Equipment Product Manager for pricing discussions.

  • Prepare and track activity and product metrics, including charts, graphs, and spreadsheets for monthly reporting.


Additional Responsibilities

  • Champion customer needs and respond professionally to challenging situations.

  • Serve as back-up to the Equipment Customer Service Representative by entering equipment orders and supporting customer inquiries.

  • Provide occasional front desk support (1–2 hours as needed).

  • Adhere to plant and corporate safety policies.

  • Assist in other areas as business needs fluctuate.


Qualifications

Education & Experience:

  • High School Diploma or GED required; Associate’s Degree preferred.

  • 1–3 years of high-volume data entry and customer support experience required.

  • Strong proficiency in Microsoft Word and Excel required.

  • Familiarity with ERP systems preferred.

  • High attention to detail with strong accuracy and timeliness.

  • Excellent typing and numeric key entry skills.

  • Strong written and verbal communication skills.

  • Highly organized with the ability to prioritize workload and meet deadlines.

  • Ability to work in a fast-paced environment.

  • Strong team player with excellent customer service skills.

  • Ability to follow written and verbal instructions.

  • Willingness to work periodic overtime as needed
