Shipping and Receiving Supervisor 
 
Position Overview: 
The Shipping and Receiving Supervisor plays a vital role in ensuring the efficient flow of materials, products, and documentation within our dynamic manufacturing environment. This seasoned professional will oversee the entire shipping and receiving operation, acting as a key liaison between production, warehousing, suppliers, carriers, and customers. The ideal candidate is detail-oriented, highly organized, and possesses extensive experience in logistics management, preferably within the calendering, manufacturing, or industrial materials sector.
 
Key Responsibilities:
Oversee Shipping and Receiving Operations: Manage all daily shipping and receiving activities, ensuring timely and accurate fulfillment of inbound and outbound shipments. Supervise loading and unloading of trucks, inspection of goods, and documentation of transactions.
Inventory Coordination: Maintain accurate inventory records, including raw materials, finished products, and packaging supplies. Work closely with warehouse staff and production teams to monitor inventory levels, anticipate shortages, and coordinate replenishments.
Documentation & Compliance: Prepare and review shipping documentation, bills of lading, packing slips, commercial invoices, and customs declarations. Ensure all shipping and receiving activities comply with company policies, industry regulations, and import/export laws.
Carrier and Vendor Relations: Build and maintain strong working relationships with freight carriers, third-party logistics providers, vendors, and suppliers. Negotiate rates, schedule pickups and deliveries, and resolve any issues related to damaged goods or delays.
Process Optimization: Identify opportunities for operational improvements and implement best practices to streamline shipping and receiving processes. Utilize continuous improvement methodologies (such as LEAN or Six Sigma) to enhance efficiency, reduce costs, and minimize errors.
Safety & Training: Enforce and promote a culture of safety by following and reinforcing company safety procedures, conducting regular inspections, and providing training on proper material handling techniques and equipment operation.
Systems Management: Utilize enterprise resource planning (ERP) and warehouse management systems (WMS) for tracking shipments, inventory, and workflow. Collaborate with IT and management to resolve system issues and suggest enhancements.
Team Leadership: Guide and support junior shipping and receiving staff, providing training, mentorship, and performance feedback. Participate in recruitment, onboarding, and evaluations as required.
Customer Service: Serve as a point of contact for internal and external customer inquiries regarding shipment status, delivery timelines, and product availability. Proactively communicate updates, address concerns, and ensure a high level of satisfaction.
Problem Solving: Respond promptly to shipping discrepancies, inventory variances, or damaged goods. Investigate root causes and implement corrective actions to prevent recurrence.
 
Qualifications & Experience:
Education: High school diploma or equivalent required. Associate or bachelors degree in supply chain management, logistics, business administration or a related field preferred.
Experience: Minimum of five years experience in shipping and receiving coordination, with a proven track record in a manufacturing or industrial environment. Experience in calendering, plastics, textiles, or related industries is highly desirable.
Technical Skills: Proficiency in ERP/WMS software (e.g., SAP, Oracle, Microsoft Dynamics), Microsoft Office Suite, and shipping software platforms. Familiarity with barcode/RFID inventory systems and freight carrier portals.
Knowledge: Strong understanding of North American shipping regulations, customs procedures, and documentation requirements. Knowledge of hazardous materials handling and DOT compliance is an asset.
Certifications: Forklift certification and workplace safety training preferred. LEAN/Six Sigma or related process improvement certifications considered an advantage.
Communication: Excellent written and verbal communication skills. Ability to interact professionally with all levels of staff, management, and external partners.
Physical Requirements: Ability to lift up to 50 lbs., stand, walk, and operate warehouse equipment for extended periods.
Problem Solving: Demonstrated aptitude for troubleshooting operational issues and implementing effective solutions under tight deadlines.
Attention to Detail: High degree of accuracy in data entry, record keeping, and documentation preparation.
Organizational Skills: Strong multi-tasking abilities, time management, and prioritization skills in a fast-paced environment.

Essential Duties:
Coordinate daily and weekly shipping schedules, ensuring all outbound products meet quality and timeliness standards.
Receive incoming freight, check for accuracy and damage, and document all discrepancies according to company policy.
Complete shipping and receiving paperwork, update internal databases, and ensure proper record retention for audits.
Verify that material storage and handling are compliant with local, state, and federal regulations, as well as company policies.
Collaborate with production planners and plant management to ensure inventory is available to support manufacturing schedules.
Monitor carrier performance and recommend alternative transportation solutions as needed.
Facilitate cycle counts and participate in annual physical inventory audits.
Assist with the development and implementation of standard operating procedures (SOPs) for the shipping and receiving department.
Participate in incident investigations and contribute to corrective and preventive action plans.
 
Working Environment:
Will primarily work in a warehouse and production facility environment, with regular exposure to forklifts, industrial equipment, and varying temperatures. Occasional overtime and weekend work may be required to accommodate production deadlines or urgent shipments. The role requires consistent adherence to personal protective equipment (PPE) and all company safety protocols.
