Administrative Assistant

Express is searching for an Administrative Assistant for a growing commercial concrete contractor working in commercial, industrial, and agricultural sectors. The organization continues to expand, we are seeking a talented professional to join our team. The Administrative Assistant supports management and field teams by ensuring office procedures and administrative tasks are completed accurately and efficiently. This is a full time position, with a wage range of $21-$24! 

Essential Duties

  • Provide high-level administrative support to management to maintain an organized and efficient office environment

  • Oversee day-to-day office activities and assist with operational functions such as budgeting, cash flow tracking, accounts payable, and accounts receivable

  • Process weekly payroll; knowledge of Prevailing Wage and Davis Bacon certified payroll is a plus

Additional Duties

  • Record and manage meeting minutes

  • Coordinate travel arrangements for field personnel

  • Serve as the primary office contact for clients, vendors, and field staff

  • Manage new hire documentation and onboarding processes

  • Maintain documentation for company equipment, including registration and licensing

  • Perform data entry and manage electronic and physical filing systems

  • Work collaboratively with the company’s CPA during month-end processes, providing reports and documentation as needed

  • Identify opportunities to improve office workflows and operational processes

  • Manage bank reconciliations

  • File various state taxes related to out-of-state work on a monthly and quarterly basis

  • Oversee FMCSA (Federal Motor Carrier Safety Administration) and IFTA (International Fuel Tax Agreement) reporting and filings

  • Participate in office meetings with management and staff

  • Support clear communication between office staff and field teams

  • Prepare and submit project billings for review and approval by the Project Manager

  • Maintain punctual, reliable attendance and a professional demeanor

  • Perform other duties as assigned

Education & Experience

  • High school diploma or equivalent

  • Minimum of 2 years of related administrative or office experience

Language Skills

  • Excellent phone etiquette and verbal communication skills

  • Ability to communicate clearly with employees, clients, and vendors

  • Ability to read and interpret documents and prepare routine reports, memos, and correspondence

  • Professional written communication skills for email and documentation

Computer Skills

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel)

  • Experience with Sage 100 Construction or similar accounting software preferred

  • Comfortable using modern office technology and systems
