We are seeking a highly organized, detail-oriented, and proactive Office Manager to oversee the daily operations of our office. The Office Manager will ensure smooth office processes, coordinate administrative tasks, and provide support to both office staff and field employees. This role is essential to the efficient functioning of our construction operations, as it will involve managing office supplies, schedules, and communication between project teams and clients.
Key Responsibilities:
Manage day-to-day office operations, ensuring efficiency and organization.
Oversee scheduling for office staff, meetings, and project timelines.
Maintain filing systems for project documents, contracts, and permits, both digitally and physically.
Act as a liaison between the field teams, contractors, vendors, and clients to ensure communication and project progress are streamlined.
Coordinate office supply orders and manage inventory for office materials and tools used in the field.
Handle invoicing, billing, and accounting tasks related to office operations, working closely with the accounting department.
Assist in preparing bids, proposals, and project estimates, ensuring accuracy and timely submission.
Support HR tasks, including recruiting, onboarding, and managing employee files.
Ensure compliance with construction industry regulations, safety standards, and company policies.
Provide general administrative support to upper management and field teams as required.
Handle client inquiries, project updates, and other communications in a professional and timely manner.
Manage office equipment, ensuring it’s properly maintained and in good working condition.
Qualifications:
Proven experience as an Office Manager or in other administrative positions, preferably within the construction industry.
Strong knowledge of office procedures and administrative tasks.
Excellent organizational skills and attention to detail.
Proficient in Quickbooks
Ability to multitask, prioritize, and manage time effectively.
Strong communication and interpersonal skills, with the ability to work well with clients, vendors, and team members.
Ability to maintain confidentiality and handle sensitive information with discretion.
High school diploma required; associate’s degree or higher in business administration or a related field preferred.
