Express Employment Professionals is hiring an Office Operations Administrator on behalf of our client, a respected, family-owned logistics company with a legacy of stability and service in the industry.

This is an excellent opportunity to join a professional, people-centered organization serving clients across the marine, logistics, and personnel sectors. You’ll work closely with the CFO and Office Manager in a collaborative, fast-paced environment where your role is essential to keeping operations running smoothly.

What you’ll be doing:

  •          Provide comprehensive administrative support to leadership and internal teams
  •          Manage procurement of office supplies and services, including vendor relationships and invoice approvals
  •          Coordinate IT, telecommunications, and mobility services, and arrange maintenance of office equipment
  •          Maintain document control systems, records management processes, and confidential files
  •          Develop and update Standard Operating Procedures (SOPs) to support efficient office operations
  •          Assist with business development activities, including bid coordination, presentations, vendor listings, and maintaining industry contact databases
  •          Track contracts, agreements, and internal reporting registers
  •          Support client engagement initiatives, conferences, events, and promotional activities
  •          Coordinate facilities services, including housekeeping, maintenance vendors, service procurement, and key/access control
  •          Assist with onboarding and offboarding processes, office events, attendance tracking, and Outlook calendar coordination
  •          Lead health and safety orientation for new employees and participate in Joint Occupational Health & Safety Committee (JOHSC) activities
  •          Support ISO/HSSE systems by coordinating quarterly internal audits, maintaining safety documentation, and tracking safety KPIs
  •          Coordinate meetings, take minutes, and track action items for leadership and management teams
  •          Prepare reports, presentations, and internal communications
  •          Provide administrative support for strategic initiatives, special projects, and executive team activities as required

What we’re looking for:

  •          At least 3 years of office administration experience
  •          Post-secondary education in Business Administration or a related field is preferred
  •          Strong computer skills, particularly with Microsoft 365, with a high level of comfort navigating and learning new systems
  •          Excellent written and verbal communication skills
  •          Strong organizational and time management skills
  •          Ability to multitask in a fast-paced, deadline-driven environment
  •          High level of professionalism, discretion, and confidentiality
  •          Ability to work independently and as part of a team
  •          Experience in logistics, freight forwarding, customs brokerage, or related industries is considered an asset
