We are seeking a reliable and detail-oriented Part-Time Office Manager to provide essential operational and bookkeeping support to the organization’s President. This role ensures the office runs efficiently and professionally, supports internal coordination, and serves as a key point of contact for partners, stakeholders, and the public.

The ideal candidate is positive, proactive, highly organized, and self-directed, with a strong ability to adapt to changing priorities.

Key Responsibilities

Office Operations

  • Manage day-to-day office functions including phones, emails, mail distribution, office supplies, and vendor relationships.

  • Maintain organized physical and digital filing systems, scheduling systems, and shared calendars.

  • Coordinate meetings, appointments, and conference calls.

Executive Support

  • Prepare meeting agendas and supporting materials.

  • Proofread correspondence, reports, and presentations for accuracy and professionalism.

Financial & Record Support

  • Assist with processing invoices and reimbursements.

  • Maintain accurate organizational records and documentation.

  • Manage submission of annual licenses and required documentation to ensure deadlines are met.

  • Provide supporting documentation to external auditors and/or bookkeepers as needed.

Team Coordination

  • Support team communication, room scheduling, and project documentation.

  • Assist with client visits as needed.

  • Help onboard vendors and part-time contractors.

  • Attend monthly CEDC Board meetings.

Qualifications

Required

  • Minimum of 3 years of office management experience.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Strong organizational and communication skills.

  • Positive, solution-oriented attitude.

  • Ability to work independently and manage multiple priorities in a fast-paced environment with occasional last-minute schedule changes. 

  •  

    Familiarity with basic bookkeeping (QuickBooks or similar software).

  • Experience with nonprofit reporting requirements.

  • Experience supporting executive leadership and a board of directors.
