In this position, you will play a key role in supporting listing operations, ensuring seamless processes, and delivering outstanding client experiences. Success in this role requires strong attention to detail, flexibility, and the ability to prioritize effectively in a fast-paced environment.
Required skills and qualifications:
- 3–5 years of administrative experience (or 1–3 years in real estate)
- Experience in real estate, real estate law (legal assistant), accounting, or residential construction/development considered an asset
- Proficiency with Google Workspace (Docs, Sheets, Forms, Drive); experience with MLS Portal and Asana an asset
- Strong interpersonal and communication skills; collaborative, transparent, and team-oriented
- Personable and client-focused, with the ability to support Agents as internal clients
- Highly organized with strong attention to detail and accurate data entry skills
- Ability to multitask, prioritize, and work effectively under pressure
- Capable of working both independently and as part of a team
- Bilingualism considered an asset
- Must have own vehicle and a valid driver’s license
Duties may include but are limited to:
- Prepare and send listing documents for signatures
- Visit listings for notes and measurements
- Input and launch listings in MLS®
- Write property descriptions while highlighting key features
- Schedule showings along with appointment instructions within ShowingTime
- Send launch emails to sellers
- Prepare listing feature sheets
- Ensure FINTRAC compliance and upload documents to Nexone
- Coordinate staging, photography, and signage
- Coordinate lockboxes, pre-list kits, client gifts, and submit activity reports
- Schedule appraisals, inspections, and walkthroughs
- Assist with signing and delivery of waivers and amendments
- Provide coverage support at the front desk as required
- Publish posts on social media about new listings
- Update listing paperwork and MLS® status changes
- Cancel/relist properties and input into FirstList
- Perform general office support functions as required

Monday to Friday – 9:00am to 5:00pm, with occasional weekend/evening commitments
Salary: $48,000 - $52,000 per year depending on experience
