Job Overview

We are seeking a dedicated and organized Office Assistant to join our dynamic team. This role is essential in maintaining smooth daily operations within the office environment, providing administrative support, and ensuring excellent customer service. The ideal candidate will answer phones, greeting customers and taking apartment applications to be processed.

Duties

  • Greet visitors and manage front desk responsibilities with professionalism and courtesy.
  • Operate multi-line phone systems, screen calls, and direct inquiries appropriately.
  • Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace applications.
  • Assist with calendar management, appointment scheduling, and coordinating meetings.
  • Handle clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies.
  • Support bookkeeping activities including basic bookkeeping tasks and invoice processing using QuickBooks.
  • Provide exceptional customer support by addressing inquiries promptly via phone or email.
  • Maintain office organization by managing files, updating databases, and ensuring a tidy workspace.
  • Support administrative functions such as copying, scanning, and mailing documents.
  • Assist with special projects or tasks as assigned by management to improve office efficiency.

Skills

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Familiarity with QuickBooks for bookkeeping and financial record keeping.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong typing skills and attention to detail for proofreading and data entry.
  • Effective phone etiquette and experience managing multi-line phone systems.
  • Bilingual abilities are highly desirable to serve diverse clients and staff.
  • Knowledge of medical or dental receptionist duties is a plus but not required.
  • Ability to demonstrate professionalism in customer service interactions.
  • Strong time management skills to handle multiple responsibilities efficiently.
  • Previous experience as a personal or medical/dental receptionist is advantageous.
