Job Summary

We are seeking an experienced Customer Service Representative with a strong background in scheduling and dispatch. This role is responsible for coordinating service calls, maintenance visits, and installation appointments while serving as the key communication link between customers, technicians, and management. The ideal candidate is calm under pressure, highly organized, and experienced in fast-paced service environments.

Key Responsibilities

  • Answer inbound phone calls, voicemails, web requests, and emails while capturing accurate and complete information
  • Schedule and dispatch service calls, maintenance visits, and installation appointments based on priority, technician skill set, location, and promised time windows
  • Confirm appointments and clearly communicate expectations with customers (arrival windows, access requirements, pets, payment methods, and job readiness)
  • Create, update, and distribute work orders; ensure technicians understand scope, location, and special instructions
  • Coordinate route changes throughout the day and communicate delays or updates promptly and professionally
  • Support after-hours or emergency call handling as assigned
  • Maintain accurate notes, call logs, and status updates within dispatch or field service software
  • Coordinate parts availability, vendor pickups, and return trips when necessary
  • Close out calls administratively by verifying labor entries, parts usage, signatures, and documentation
  • Protect customer data and follow policies related to privacy, payments, and communications

Required Qualifications

  • Previous dispatch and/or scheduling experience is REQUIRED
  • Strong customer service experience in a fast-paced environment
  • Excellent phone etiquette and professional written communication skills
  • Ability to manage frequent schedule changes without losing accuracy
  • High attention to detail (addresses, job notes, time windows, and requirements)
  • Comfort using dispatch software, CRM systems, email, and mapping tools
  • Dependable, punctual, and able to work independently with minimal supervision

Preferred Skills

  • Familiarity with service-based industries (HVAC, field service, maintenance, or similar)
  • Ability to quickly learn industry terminology and urgency triage
  • Strong coordination and teamwork skills when working with technicians and managers
