Billing & Collections Specialist

Full-Time | $27–$32/hour

We are seeking a detail-oriented Billing & Collections Specialist to manage project invoicing and accounts receivable while ensuring contract compliance and consistent project cash flow. The ideal candidate has at least 3 years of A/R experience, preferably in the construction industry.

Experience with AIA billing, California lien releases/waivers, and knowledge of CA collection laws is strongly preferred.

Responsibilities

Billing

• Prepare progress billings, change orders, and final invoices

• Review contracts (AIA), work orders, and subcontracts for accuracy

• Coordinate with project managers, clients, and accounting to resolve discrepancies

• Maintain organized billing and A/R records

Collections

• Monitor aging reports and follow up on past-due accounts

• Communicate with clients regarding outstanding balances

• Negotiate payment plans and resolve disputes

• Document collection activity and provide status updates

• Process payments and send monthly statements

Additional duties may be assigned as needed.

Requirements

• High School Diploma or equivalent

• Construction billing/collections experience

• Knowledge of AIA billing and lien waiver procedures

• Strong organization, attention to detail, and time management

• Ability to multitask and work independently

• Proficiency in Microsoft Word and Excel

• Excellent written and verbal communication skills

• Must pass pre-employment drug and background screening

Schedule & Benefits

• Full-time, Monday–Friday (40+ hours, overtime as needed)

• Health insurance after 60 days (employer contribution for employee)

• Paid holidays (approx. 8/year) and 40 hours sick pay

• Vacation accrual after 120 days
