Mail Services Clerk Key Responsibilities

  • Inbound Correspondence Management: Collect, organize, and route all incoming mail to the correct departments via physical mail slots or digital distribution systems.
  • Claims Processing & Digitization: Categorize incoming insurance claims by type. Utilize high-speed scanners to convert paper claims into digital records, ensuring any excluded documents are handled according to strict compliance protocols.
  • Records Retention: Maintain an organized physical filing system for hardcopy claims. Oversee the secure destruction (shredding) of documents following a 30-day retention period.
  • Outbound Logistics: Manage all outgoing shipments, including daily USPS mail, overnight FedEx packages, and ID card distributions. Operate postage meters to weigh, seal, and apply correct postage to all envelopes.
  • Financial Document Preparation: Coordinate the folding, stuffing, and mailing of checks and Explanation of Benefits (EOB) statements. Ensure all checks are dispatched on schedule following departmental release.
  • Equipment & Facilities Maintenance: Act as the primary point of contact for office machinery. Perform routine cleaning and basic troubleshooting for copiers, postage machines, and scanners. Monitor supply levels and coordinate with vendors or IT for professional repairs.
  • Administrative Support: Assist with annual data entry projects (such as Rx premium information) and other specialized administrative tasks assigned by management.

 

 

Mail Services Clerk Qualifications

  • Experience: Previous experience in a high-volume mailroom, document imaging center, or administrative office setting.
  • Technical Proficiency: Ability to operate postage meters, industrial folders/stuffers, and scanning equipment.
  • Digital Literacy: Basic computer skills for data entry and email communication with vendors.
  • Attention to Detail: High level of accuracy in sorting sensitive financial documents and claims.
  • Physical Ability: Must be able to stand for extended periods and lift mail bins or paper reams as needed.
