ESSENTIAL JOB FUNCTIONS:
- Performs duties of a staff assistant and participates directly in the work of the individual(s). Secures details of specialized information and maintains a high level of confidentiality.
- Keeps and maintains calendars, schedules, and appointments utilizing Microsoft
- Functions as office receptionist with duties including answering the telephone and forwarding calls or taking messages as appropriate, processing all incoming mail, greeting visitors and making referrals to appropriate resources as necessary.
- Produces minutes of conferences and meetings either by taking notes or via dictation utilizing electronic dictation equipment.
- Collects and enters data in addition to conducting inquiries using PC-based applications, client specific databases, and spreadsheet software.
- Assists in the preparation and production of department reports by conducting research, compiling data, and performing analysis.
- Possesses project management skills to oversee environmental projects, from initial planning and execution to monitoring and evaluation, to the close-out phase.
- Manages environmental reviews and administrative programs
- Creates and maintains specialized departmental records and files related to short and long-term projects in accordance with individual program specifications
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of business English, spelling, grammar, and punctuation in order to prepare, review, and edit documents, including the composition of letters for internal and external stakeholders, etc.
- Knowledge of office practices with enthusiasm, teamwork and intellectual curiosity
- Proficiency with Microsoft Office programs including Excel, Word, PowerPoint and Outlook
- Knowledge of mathematics in addition to the reconciliation of monthly
- Ability to establish, build, and maintain effective working relationships
- Skill in the use of taking dictation or of transcription from electronic dictation equipment desired
- Type at least 60wpm
EDUCATION AND EXPERIENCE:
A baccalaureate degree and/or possession of equivalent professional experience may be supplemented by certifications in Microsoft Office, transcribing, grant experience, and business practices. Four (4) years of progressively responsible experience in performing office and clerical work in an office setting is required.
