Position Overview
We are seeking an Financial Advisor Assistant for a local Tampa wealth advisory firm. This role plays a critical part in supporting the advisory team by providing comprehensive administrative and operational support. The Financial Advisor Assistant ensures advisors can focus on delivering exceptional client service, financial strategy, and relationship management.
This position serves as a central link between Advisors, clients, and internal departments such as Operations, Data Management, and Estate Planning. The Advisor Assistant helps create a seamless, high-touch client experience by ensuring meetings, communications, and follow-up activities are executed with accuracy, professionalism, and care.
This role supports both the professional and personal sides of the client experience—managing the Advisor’s workflow while ensuring every client feels valued, informed, and well cared for.
Core Responsibilities
Client Meeting Preparation & Coordination

Prepare meeting agendas, reports, and required documentation

Schedule and confirm client appointments

Ensure advisors are fully prepared with accurate, organized materials

Document meeting notes and track follow-up action items
Client Communication & Service

Serve as a primary point of contact for client administrative needs

Manage inbound and outbound communications with professionalism and warmth

Coordinate requests between clients and advisors

Ensure timely responses and follow-through on all inquiries
Documentation & Record Management

Maintain accurate, organized, and up-to-date client records

Assist with account paperwork, forms, and documentation processing

Coordinate with Operations and Data Management to ensure accuracy

Monitor outstanding items and proactively follow up
Workflow & Advisor Support

Support daily workflow to keep advisors focused on strategy and relationships

Track tasks, deadlines, and client deliverables

Anticipate advisor and client needs proactively

Assist with special projects and process improvements

Qualifications

5+ years of experience in the financial industry or banking industry REQUIRED
- Financial industry knowledge including IRA's, 401K, brokerages, annuities, life insurance & money markets.

Strong organizational and time-management skills

Excellent written and verbal communication skills

High attention to detail and accuracy

Ability to manage multiple priorities in a fast-paced environment

Professional demeanor with a client-first mindset

Proficiency in Microsoft Office; CRM/HubSpot experience is a plus
