Office Assistant / Paralegal (Non-Certified)
Location: Ocala, FL
Job Type: Full-time (Mon–Thurs) / Half-day Fridays
Pay: $19.00 – $25.00 per hour (based on experience)

We are a small, professional law office practicing Bankruptcy, Construction Law, and Probate Law. Our team values confidentiality, professionalism, attention to detail, and a positive work environment.
We are seeking an experienced Office Assistant / Paralegal (Non-Certified) who can manage administrative duties, support attorneys, and interact with clients with a high level of professionalism.
Schedule
- Monday – Thursday: 8:30 AM – 5:00 PM
- Friday: 8:30 AM – 12:00 PM
- Dress Code: Business casual
Responsibilities
Client Interaction & Front Office Support
- Answer phones, greet clients, and manage general inquiries
- Pre-screen clients and identify service needs
- Maintain a professional, respectful, office environment
Paralegal & Legal Support
- Open and maintain client files (physical and electronic)
- Draft letters, forms, and basic legal documents under attorney supervision
- Prepare bankruptcy, probate, and construction law case materials as directed
- Assist with hearing preparation and coordinate hearing schedules
- Manage attorney calendars and deadlines
- File pleadings and documents with local courts (electronic and in-person)
- Conduct basic legal research and gather relevant case information
- Organize discovery materials and maintain case documentation
Administrative Duties
- Order office supplies and maintain inventory
- Run errands as needed (must have valid driver’s license and insurance)
- Pick up food or materials for meetings when required
- Maintain tidy and organized workspace and filing systems
- Handle incoming/outgoing mail, scanning, and document management
- Assist with billing, invoicing, and basic bookkeeping tasks (if needed)
Compliance & Professionalism
- Maintain strict confidentiality of all client and firm information
- Sign and adhere to firm non-disclosure requirements
- Willingness to obtain Notary Public certification (firm will assist)
Requirements
- Paralegal experience required (non-certified acceptable)
- Ability to type 50+ WPM
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to work independently and take initiative
- Professional conduct and consistent confidentiality
- Valid driver’s license, reliable transportation, and auto insurance
Preferred Skills
- Familiarity with bankruptcy filings, probate documents, or construction law processes
- Experience with online court filing systems (e-Filing)
- Proficiency with Microsoft Office, Adobe, and legal case management software
- Notary (or willingness to obtain)
