Position Overview: We are seeking a highly organized and proactive Service Scheduler & Operations Coordinator to serve our service department. This is a high-energy, logistical role that requires a unique blend of customer service excellence and sharp operational logic. You will be responsible for the strategic deployment of our field technicians, ensuring that our fleet is moving efficiently in the Bay Area and into the Central Valley to meet our clients' critical power needs.

The ideal candidate is a master of logistics who can stay calm under pressure. Whether you are re-routing a technician for an emergency outage or confirming routine maintenance for a commercial facility, you must communicate with authority and empathy. You aren’t just "booking appointments"—you are managing the pulse of the company, balancing technician skill sets with geography and client urgency to maximize our impact every day.

Key Responsibilities:

  • Strategic Dispatching: Manage the daily schedules for a team of field technicians, optimizing routes to minimize travel time and maximize billable hours.
  • Customer Liaison: Act as the primary point of contact for scheduling, calling customers to confirm service dates, and providing professional updates on technician ETAs.
  • Emergency Coordination: Rapidly pivot the schedule to accommodate emergency service requests, ensuring our 24/7 mission-critical clients are prioritized.
  • Pipeline Management: Monitor the flow of work orders from the Service Writer to the field, ensuring all "parts-ready" jobs are scheduled and completed promptly.
  • Technician Support: Coordinate with field staff to understand job durations and site access requirements, ensuring they have the information needed for a successful visit.
  • Data Integrity: Maintain an accurate and up-to-date CRM/Scheduling board, documenting all customer interactions and schedule changes in real-time.
  • Follow-up Excellence: Proactively reach out to clients for recurring maintenance contracts to ensure their equipment remains compliant and reliable.
  • Operational Synergy: Work closely with the Service Manager and Service Writer to resolve scheduling conflicts and ensure a seamless handoff from quote to completion.

Qualifications:

  • Industry Experience: Prior experience in dispatching, service scheduling, or logistics, ideally within the power generation, HVAC, electrical, or construction industries.
  • Communication Mastery: Professional verbal and written skills; ability to handle high-volume phone calls with a polished and helpful demeanor.
  • Logic & Problem Solving: Ability to "puzzle-solve" a complex calendar, accounting for technician specialties, job locations, and varying levels of urgency.
  • Computer Proficiency: Strong ability to navigate scheduling software (FSM), GPS tracking systems, and standard office suites.
  • Pressure Management: Proven ability to remain organized and professional in a fast-paced environment where priorities can shift by the minute.
