Position Overview:

As a Service Writer, you are the primary point of contact for our service department and the critical link between our field technicians and our customers. This is a high-volume, fast-paced role that requires efficiency, technical logic, and the ability to manage multiple moving parts at once. Your job is to take raw information from the field and turn it into professional repair quotes, source the necessary parts, and handle the administrative side of the service cycle from start to finish.

You will be responsible for translating technical field notes into actionable customer proposals, ensuring parts are sourced efficiently, and managing manufacturer warranty claims. We are seeking an organized professional with strong mechanical aptitude who can communicate effectively with both technicians and clients to ensure all projects are completed on schedule and within scope.

Key Responsibilities:

  • Translate technician field reports into professional repair quotes and service proposals for customer approval.
  • Identify, source, and order all necessary parts for service jobs and warranty repairs.
  • Process and submit manufacturer warranty claims accurately and monitor them through to reimbursement.
  • Act as the primary point of contact for inbound service inquiries, providing clear status updates on quotes and repairs.
  • Coordinate directly with field technicians to clarify work performed and identify additional parts or labor required.
  • Maintain detailed and organized service records, ensuring all job folders are complete and ready for billing.
  • Monitor the status of all open quotes and pending parts orders to prevent delays in the service cycle.
  • Maintain professional relationships with parts suppliers and manufacturers to ensure timely delivery.
  • Support the service manager with administrative and operational tasks to improve department efficiency.
  • Ensure all documentation is accurate before passing completed service files to the scheduling department.

Qualifications:

  • Industry Experience: Prior experience in a service writer, service advisor, or dispatcher role, ideally within the power generation, automotive, HVAC, or mechanical industries.
  • Technical Aptitude: A solid understanding of mechanical or electrical systems to accurately interpret technician notes and identify necessary parts.
  • Communication Skills: Professional verbal and written communication skills for direct interaction with customers, technicians, and manufacturers.
  • Organizational Skills: Exceptional attention to detail with the ability to manage multiple quotes, parts orders, and warranty claims simultaneously.
  • Computer Proficiency: Strong computer skills and the ability to quickly learn service management software and manufacturer parts databases.
  • Task Prioritization: Proven ability to work in a fast-paced environment and prioritize high-priority repair requests and deadlines effectively.

Additional Requirements & Preferred Skills

  • Physical Ability: Capability to lift and move up to 50 lbs and stand or sit for extended periods as required by the daily workflow.
  • Material Logistics: Experience managing material flow, including receiving, staging, and organizing parts for specific service projects.
  • Warehouse Management: Prior experience in inventory control, warehouse organization, or stockroom management.
  • Equipment Operation: Valid forklift certification or the ability to obtain one to assist with loading and unloading heavy equipment or parts.
  • Site Logistics: Familiarity with safety protocols and the ability to navigate shop and warehouse environments efficiently.
