Executive Administrative Assistant - Experience Required

Schedule: Monday–Friday, 8:30 AM–4:30 PM

Pay: $24–$34 per hour, based on experience

Position Overview

The Executive Administrative Assistant provides high-level administrative and operational support to the Owner of a financial services firm. This role requires exceptional organization, professionalism, and the ability to manage sensitive information with absolute confidentiality. The ideal candidate is detail-oriented, highly reliable, comfortable working with numbers, and proficient in Excel. You will play a key role in keeping the owner’s schedule, tasks, and priorities running smoothly.

 

Key Responsibilities

  • Manage the owner’s calendar, schedule meetings, and coordinate appointments.

  • Prepare and edit correspondence, reports, spreadsheets, and financial documents.

  • Assist with data entry, tracking, and organization of financial information.

  • Handle incoming calls, emails, and client inquiries with professionalism and discretion.

  • Organize and maintain digital and physical files, records, and documentation.

  • Support meeting preparation, including agendas, materials, and follow-up tasks.

  • Coordinate travel arrangements, itineraries, and expense reports as needed.

  • Track deadlines, project milestones, and follow-up items for the owner.

  • Serve as a liaison between the owner, clients, and internal team members.

  • Maintain a high level of confidentiality when handling sensitive financial and personal information.

 

Qualifications

  • Previous experience as an Executive Assistant, Administrative Assistant, or similar role.

  • Strong Excel skills and comfort working with numbers are required.

  • Excellent written and verbal communication skills.

  • High level of professionalism, discretion, and interpersonal skills.

  • Strong organizational and time-management abilities with the capacity to prioritize effectively.

  • Ability to work independently, anticipate needs, and take initiative.

  • Strong attention to detail and accuracy.

  • Ability to manage multiple tasks in a fast-paced environment.

  • Positive attitude and strong customer-service mindset.

 

Preferred Qualifications (Not Required)

  • Experience supporting leadership in a financial, accounting, or professional services environment.

  • Familiarity with CRM systems, financial software, or project management tools.

  • Advanced document formatting or presentation skills.
