The Front Office Representative is the first point of contact for clients, visitors, and callers. This role is responsible for providing exceptional customer service, managing front desk operations, and supporting daily administrative tasks to ensure smooth and efficient office operations.
Greet and assist clients, visitors, and vendors in a professional and friendly manner
Answer, screen, and direct incoming phone calls
Schedule, confirm, and manage appointments or meetings
Maintain accurate client records and update databases as needed
Handle incoming and outgoing mail, emails, and faxes
Process basic administrative tasks such as data entry, filing, and document preparation
Collect payments, issue receipts, and balance cash drawer (if applicable)
Coordinate with internal departments to support workflow and client needs
Maintain a clean, organized, and professional front office environment
Follow company policies, procedures, and confidentiality standards
High school diploma or equivalent (Associate’s degree preferred)
Previous customer service, reception, or administrative experience preferred
Strong verbal and written communication skills
Professional appearance and demeanor
Proficiency in Microsoft Office (Word, Excel, Outlook) or similar systems
Ability to multitask and prioritize in a fast-paced environment
Excellent interpersonal and customer service skills
Strong organizational and time-management abilities
Attention to detail and accuracy
Problem-solving skills and adaptability
Ability to work independently and as part of a team
Office or front desk setting
May require extended periods of sitting or standing
Regular interaction with the public and staff
