We are seeking a highly organized and professional Executive Personal Assistant (Part-Time) to provide administrative and coordination support to executive leadership for a growing, modern organization in Sarasota.

Schedule: Part-time; starting at 3 days per week, 5-hour shifts (schedule may vary)
Compensation: $18–$25/hour, depending on experience

Position Summary:

The Executive Personal Assistant provides high-level administrative, coordination, and customer-facing support to executive leadership. This role requires flexibility, discretion, strong communication skills, and a willingness to assist wherever needed. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, professional environment.

Key Responsibilities:

  • Provide email, phone, and calendar support, including scheduling meetings

  • Assist with planning, logistics, and coordination for events, meetings, and tours

  • Prepare presentations, reports, and documents for meetings

  • Serve as the first point of contact for visitors and guests, providing exceptional customer service

  • Respond to emails and inquiries professionally and promptly

  • Maintain accurate data entry and records within CRM systems

  • Assist with monthly expense reporting, invoicing, and payment collection

  • Support administrative and basic financial tasks as needed

  • Process applications and documentation related to permitted activities or programs

  • Collaborate closely with leadership and team members on special projects

Qualifications:

  • Bachelor’s degree or equivalent professional experience

  • Strong administrative, organizational, and customer service skills

  • Excellent written and verbal communication abilities

  • Ability to multitask, prioritize, and meet deadlines

  • High level of professionalism and discretion

  • Strong attention to detail and follow-through

  • Comfortable working independently and as part of a small team

  • Flexible mindset with a “no task is too small” attitude

Technical Skills:

  • Proficiency with Google Workspace (Docs, Gmail, Sheets)

  • Microsoft Office (Excel, Word, PowerPoint, Outlook)

  • Video conferencing platforms (Zoom, Microsoft Teams)

  • Experience with Canva and Adobe tools preferred

  • Familiarity with CRM systems and data entry

Work Environment & Additional Requirements:

  • May require occasional early mornings or evening availability

  • Ability to lift or move up to 30 lbs occasionally

  • Valid driver’s license and clean driving record

  • Ability to pass a Level 2 background check
