Monday-Friday 8am-5pm

We are seeking a friendly, organized, and Bilingual Front Office Coordinator to join our energetic, collaborative team. In this role, you will be the first point of contact for all visitors and job applicants, whether in person, by phone, or via email/text, ensuring a positive and professional experience. Alongside managing the front desk, you will play an important role in payroll processing, accounts receivable, administrative support, and managing job postings. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.

Front Office Coordinator Responsibilities:

  • Greet and process all visitors and job applicants in a welcoming and professional manner
  • Answer, screen, and direct phone calls 
  • Communicate with individuals via phone, email, and text in both English and Spanish
  • Manage front desk operations, including mail, packages, and office supplies
  • Schedule and coordinate meetings to support team members
  • Perform administrative tasks such as data entry and document management
  • Prepare and track accounts receivable statements and payments
  • Process payroll and support payroll-related tasks on a regular basis
  • Create, post, and maintain job postings across multiple platforms
  • Review online applications and respond to candidate email inquiries
  • Schedule and coordinate interviews for the recruiting team
  • Support recruiting efforts as needed by coordinating with hiring managers and assisting job applicants
  • Maintain a professional, organized, and efficient office environment
  • Perform other duties as assigned to help the office run smoothly

Front Office Coordinator Requirements:

  • Bilingual in English & Spanish preferred
  • Minimum 2 years of customer service experience
  • Strong communication skills across phone, email, and text
  • Experience with data entry and processing reports
  • Proficient with computers, Microsoft Office, and standard office equipment
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities independently
