Job Title: Receptionist

 

 

Job Summary: The Receptionist is the first point of contact for clients, visitors, and employees. This role is crucial in maintaining a professional and welcoming environment while handling a variety of administrative tasks. The Receptionist will manage front desk activities, coordinate office operations, and provide exceptional customer service to support the efficient functioning of the office.

Key Responsibilities:

  1. Front Desk Management:

    • Greet and welcome visitors in a friendly and professional manner.
    • Direct visitors to the appropriate person or department.
    • Answer, screen, and forward incoming phone calls in a courteous manner.
    • Manage and route incoming mail, packages, and deliveries.
    • Maintain a tidy and organized reception area.
  2. Administrative Support:

    • Schedule and coordinate appointments, meetings, and conference room bookings.
    • Prepare and distribute correspondence, memos, and reports as needed.
    • Perform general office duties including filing, photocopying, and faxing.
    • Assist with data entry and maintaining office records.
  3. Customer Service:

    • Address and resolve inquiries and concerns from clients and visitors in a professional manner.
    • Provide information about the company and its services as needed.
    • Maintain confidentiality of sensitive information.
  4. Office Coordination:

    • Collaborate with other administrative staff to ensure smooth office operations.
    • Monitor and manage office supplies and inventory.
    • Assist with onboarding and orientation of new employees.
  5. Emergency Procedures:

    • Follow company procedures for handling emergency situations.
    • Maintain knowledge of emergency exits and evacuation plans.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Proven experience as a receptionist or in a similar customer service role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
