Position Summary

The AR/AP Specialist is responsible for managing end-to-end accounts payable and accounts receivable functions with a high degree of accuracy and independence. This role plays a critical part in maintaining accurate financial records, optimizing cash flow, and ensuring compliance with accounting standards. The ideal candidate brings proven experience, strong attention to detail, and prior exposure to a manufacturing environment. Limited email communication with an international headquarters team is required.

Key Responsibilities

Accounts Payable (AP):

  • Process high-volume vendor invoices using Sage accounting software
  • Match invoices to purchase orders and receiving documentation
  • Identify, research, and resolve invoice discrepancies promptly
  • Prepare and process vendor payments in accordance with company policies
  • Maintain accurate AP records and audit-ready documentation

Accounts Receivable (AR):

  • Generate, review, and distribute customer invoices
  • Apply customer payments and reconcile AR accounts
  • Monitor AR aging and follow up on outstanding balances
  • Resolve customer billing inquiries professionally and efficiently

General Accounting & Administrative Duties:

  • Reconcile AR and AP subledgers to the general ledger
  • Manage multiple shared and individual email inboxes
  • Maintain organized financial records and documentation
  • Support month-end close and reporting activities
  • Communicate occasionally via email with international headquarters (limited scope)

Required Qualifications

  • Minimum 3+ years of hands-on AR/AP experience
  • Strong working knowledge of Sage accounting software preferred
  • Manufacturing environment experience strongly preferred
  • Exceptional attention to detail and accuracy in data entry
  • Ability to work independently as a self-starter
  • Strong organizational and time-management skills
  • Professional written communication skills
  • Advanced proficiency in Microsoft Excel and accounting systems
